Deal Desk Specialist
**Job Description Summary**

The Deal Desk Specialist will assist brokers, Local Operations completing requests in support of deal flow management. In this role, the Deal Desk Specialist will perform select deal management and master data management activities to ensure brokers are provided high quality, efficient, and effective services. Deal Desk Specialists may also be required to assist with coaching & mentorship of new hires.

**Day-to-Day Request Execution**:

- Read and understand legal documentation related to Commercial Real Estate (CRE) transactions, and have familiarity with local CRE regulations as appropriate (such as listing agreements, leases, and agreements of purchase & sale, FINTRAC)
- Enter and update opportunity/deal information in Customer Relationship Management (CRM) systems according to prescribed processes
- Monitor deal management workflow to ensure tasks are executed in a timely manner (following up on amendments, waivers, conditional dates, etc)
- Monitor accuracy of data within enterprise systems to identify and resolve data quality issues
- Prepare forms to create and correct master records (suppliers, billing customers), coordinate submission to data governance teams, and monitor resolutions of data quality issues
- Track progress of client documentation requirements (such as Fintrac) and work with Broker Teams to ensure capital markets deals are compliant with Fintrac and other government regulations
- Coordinate with Local Operations/Internal Functions Teams to update deal information and communicate re-issue resolution status
- Depositing cheques for deposits on deals and commission payments
- Track closed deals and proactively retrieve and distribute invoices to Broker Teams via use of CRM/Accounting systems
- Lead resolution of missing payment inquiries via root cause analysis and preparation of payment reissue forms

**Technology/Task Management**:

- Use CRM software to view, action, and update Deal Desk request records

**Other**:

- Conduct quality review checks of peer Deal Desk Specialist work to ensure adherence to prescribed processes and accuracy of data
- Provide peer mentorship and assist training facilitation for new hires
- Willing to travel to our 3 GTA offices (Mississauga, Toronto & Markham) on a regular basis

**Core Competencies**:

- Knowledge of Commercial or Residential Real Estate industry preferred
- Proven track record of completing tasks according to SLA's
- Demonstrated ability to independently execute tasks and resolve conflicts as they arise
- Excellent time management skills with the ability to manage multiple tasks simultaneously
- Strong communication (written, oral) and customer service skills
- Team-player capable of building strong collaborative relationships with peers and internal business partners
- Experience working with Salesforce, Workday, or other Accounting/Customer Relationship Management software an asset
- Familiarity with FINTRAC and other Commercial Real Estate regulations is a benefit
