Position Summary
This position is a direct resource for the Vice President. The primary responsibility is to provide all phases of administrative services in a timely, accurate and efficient manner. The Executive Assistant liaises between the CEO and other V.P.’s, Administrative Staff, Program Directors, Clinical & other Program leaders such as Managers, LHIN, Ministry, community members and other agencies.
Major Responsibilities
- Supports various committees through the organizing of meetings, agenda preparation, gathering of information, taking meeting minutes, and following up on meeting action items
- Collects documentation for submission to various groups
- Assists with the maintenance of the documentation management system
- Organizes and tracks variance report completion, functional transactions and compiles operating budget preparation material.
Essential Qualifications
- Minimum of five (5) years Executive Assistant experience essential, preferably in a Hospital setting
- Medical terminology certificate or agreement to complete or equivalent
- Keyboarding skills (70 w.p.m.)
- Demonstrated proficiency in Microsoft Office (i.e. Excel, PowerPoint and Word)
- Demonstrated project management skills
- Excellent communication skills, both written and oral
- Excellent interpersonal and listening skills
- Excellent composition skills in developing reports, minutes, correspondence etc.
- Must be a self-starter, demonstrating self-confidence and initiative in all activities
- Must be capable of dealing with all levels of staff and the public in a professional and courteous manner
- Advanced coordinating, organizational, prioritizing and time management skills
- Accuracy and attention to detail
- Advanced "people" skills, i.e. mature manner, confidential, discreet, tactful, willingness to a assist others
- Must be able to fulfill physical requirements of the job, as per current Physical Demands Analysis
Hours of Work
Must be able to work day shift, Monday to Friday. Shifts and hours may change according to departmental requirements.
