Position Summary:
The Interim Clinical Program Coordinator plays an integral role in the operations of FHC. In collaboration with the Director, Community Health, the Interim Clinical Program Coordinator is responsible for the overall management of the medical secretaries across both our Flemingdon and Fairview site.

The Clinical Program Coordinator is a member of the management team and will be responsible for liaising with all Program Teams (ie. Primary Care, Population Health & Wellness & Chronic Disease and Mental Health) as well as our Administrative and Data Management Team.
Responsibilities include:
The Interim Clinical Program Coordinator works closely with the Director, Community Health to set standards for, provide direction to, and manage the medical secretary team:

- Supervise and manage the performance of the medical secretary team and relief staff ensuring high standards are maintained.
- Efficiently schedule and coordinate the medical secretary team to ensure proper staffing levels, even during staff absences.
- Foster daily open communication with team members to address immediate needs and maintain smooth operations.
- Schedule and conduct monthly meetings with medical secretary team; including preparing agendas and minutes and distributing meeting materials.
- Lead team discussions to improve, update and modify administrative guidelines and procedures through a QI lens
- Ensure administrative guidelines and procedures are well documented
- Ensure medical secretary team has the administrative support, resources and tools required to work effectively and efficiently
- Provide information and recommendations concerning medical secretary operations, risk management, and community and client relations
- Coordinate report completion and correspondence with clients

**Human Resources**
- Recruit and onboard new medical secretaries as needed
- Assist in the developments and/or acquisition of appropriate resources and provide training and orientations as needed
- Oversee Time Tracker for medical secretaries; approve leaves and sign off on time sheets
- Manage performance in accordance with the collective agreement including discipline

Data & IT
- Work with the Decision Support Specialist (DSS) on data requests and other relevant issues from the team to ensure efficient use of EMR
- Review data with DSS prior to presenting to the medical secretary team
- Escalate issues to IT Service Provider
- Assist staff with immediate computer/equipment issues
- Troubleshoot log in issues with username/passwords
- Act as a superuser and liaison with the IT and Data teams and the Medical Secretaries

Other
- Collaborate with other FHC team members to plan, implement, and evaluate FHC's multidisciplinary and outreach programs
- Participate in interdisciplinary meetings as required, including committees (QI, Accreditation, H&S etc.)
- Other responsibilities will be assigned as required to support the team and program

**Skills and Qualifications**
- A university degree in a related community health related discipline (e.g. Public health, Social Work, Registered Nurse) or an approved equivalent of education and relevant experience.
- One year of experience or greater with a focus on process implementation and programs and services evaluation
- Experience with Electronic Medical Record (EMR) preferably Telus PS Suite
- Experience in managing a busy inter-professional health care team in a multi-site healthcare setting
