**Our Mandate**:
To confidentially support and assist Hants County families and children at Christmas time to participate in the shared enjoyment of buying Christmas gifts and participating in their family traditions of celebrating the Christmas holidays.

**Our History**:
For over thirty years, Family and Children's Services assisted families in Hants County at Christmas time because of donations from concerned people and groups within our communities. There are no government resources available to our Agency for this type of sharing at Christmas, only the gifts and money donated through the Christmas Program. The program has evolved over the years because of the level and type of giving requested by the generous people of Hants County.

There is now a Society to produce the annual program and raise money for the families and children of Hants County for Christmas each year. Our Annual Webathonis our primary fundraising event. We are always amazed at how the entire community pulls together to help; from elementary and high school children, church choirs, local merchants, professional and amateur bands as well as representatives from all three levels of government. Everyone gets involved with true Maritime spirit.

The Program Coordinator will work towards achieving annual fundraising goals by coordinating and executing various programs and fundraising events. This will include the annual Hants County Christmas Angels Webathon.

**Specific duties include**:

- Regular attendance of all Board meetings
- Attendance of events representing the Hants County Christmas Angels Society
- Prepares event specific paperwork, materials, and performs data entry.
- Performs event registration activities including responding to attendee’s questions and providing updates to team members.
- Update and manages calendars, providing reminders for upcoming events
- Propose ideas to improve provided services and event quality
- Pursue sponsorships and donations for programs, services and events
- Assist with marketing the organization through social media and traditional advertising
- Maintain accurate records of sponsor and applicant profiles
- Ensure all donations and gifts in kind are accurately recorded and tracked in our database software
- Ensure all donors receive appropriate recognition for their contribution
- Assist Board members with tasks, projects and assignments as needed to enhance fundraising strategy.
- Responsible for preparing and submitting program reports.
- Responsible for the recruitment and training of volunteers as well as ensuring proper supervision and recognition of volunteers are in place
- Pursue new and maintain existing relationships with donors
- Promote & publicize events
- Help set-up and take down any materials needed the day of the event
- Assists with event marketing duties such as writing press releases, radio and television spot copy, etc.
- Works with the marketing team to ensure all event information is up to date on the website
- Develops event specific organizational tools such as production timelines, contact lists, on site deliverable schedules.
- Monitors and coordinates the webathon to ensure the event follows the timeline.
- Manages collateral production for printed materials, signage and other marketing pieces.
- Coordinate all volunteers at event
- Maintain confidentiality at all times
- Anticipate and plan for future events, trends, problems and opportunities
- Explore existing community initiatives as potential opportunities

**Qualifications**:

- Post-secondary education in a related field or an equivalent combination of education, training and experience.
- Previous experience in event management would be an asset.
- Demonstrated experience dealing with highly sensitive situations.
- Access to a reliable form of transportation is required to fulfil the responsibilities of this position.
- Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook) and related search engines.
- Strong oral and written communication skills.
- Excellent organizational skills.
- Experience in dealing with high volume of work, tight deadlines and ability to deal with competing priorities.

**Working Conditions**:

- Remote position with requirements to work outside of regular office hours
