Office Assistant

SARC is looking for a talented self-starter to join our team as an Office Assistant. The Office Assistant reports to SARC’s Executive Assistant, and the primary responsibility is to help support day-to-day activities of the office by performing reception, administration, and other office tasks.
SARC is a provincial association that provides services to nonprofit organizations to expand their potential and support the work they do within their communities.
**Key Responsibilities**:
- Manage front reception by answering incoming calls and greeting visitors.
- Processes daily incoming and outgoing mail, arranging courier pick up services as required.
- Aids in the maintenance of office equipment (keeping adequate levels of paper and toner in equipment, scheduling service calls, troubleshooting).
- Holds primary responsibility for scheduling of internal meeting room bookings (room set up, A/V equipment, supplies, meals, refreshments, etc.).
- Holds primary responsibility for staff meeting administration, including calling for agenda items, arranging catering, recording minutes, etc.
- Assists with administrative/tracking responsibilities for all SARC education, training, and events, which includes but is not limited to, preparing documentation and packages, handling required printing of materials etc.
- Maintain office procedures, which includes but is not limited to, periodic maintenance of office equipment, office security and emergency procedures, office supply ordering, filing system, vendor management, service contract renewals, etc. Create and maintain Office Procedures Manual.
- Provides back-up support to the Administrative Assistant.
- Attends training and workshops as required.
- Performs other duties as assigned.
**Education/Work Experience**:
- Requires post-secondary office administration certificate/diploma.
- 1-2 years of office administrative assistant and/or receptionist experience working in an office environment will be preferred.
**Knowledge and Skills**:
- Strong oral and written communication skills, attention to detail, and effective organizational and administrative skills are essential
- Discretion is required as the position is privy to, and works with, sensitive and highly confidential information
- Exhibits a strong degree of professionalism, while remaining highly-personable and approachable in the company of people of all abilities, cultures and backgrounds
- Exhibits high ethical conduct; acting with integrity, sensitivity, and confidentiality
- Demonstrated proficiency in Microsoft 365; comfortable learning new technical systems as needed
- Typing speed - minimum 50 words per minute
- Requires sound judgment and exceptional customer service skills.
- Tact and diplomacy is essential.
- Must be committed to teamwork and meeting team goals.
- Must maintain a consistently professional demeanour as the position is a first point of contact for SARC.
- An equivalent combination of education and experience may be considered.
- Must provide a satisfactory criminal record check as a condition of employment.
**Working Conditions**:
- Works primarily in an office setting.
- Works in an environment where there is continuous change and frequent interruptions. Flexibility and the willingness to change priorities and deadlines are also required.
