Executive Assistant

The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO and Executive Team, and managing the organization’s office operations, including supporting both the operational and client management needs of the business. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
**Primary Responsibilities**
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; assisting with the onboarding of new clients, setting up initial consultations, and tracking progress in the client management system.
- Function as a liaison between the CEO and the clients she works with, ensuring timely follow-ups, scheduling, correspondence, and relationship-building. Support the CEO’s e-learning division by; troubleshooting user access issues, responding to student inquiries and ensure a smooth learning experience.
- Arrange and handle planning and organization for meetings, conferences, and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes, in compliance with applicable rules and regulations.
- Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Anticipate CEO’s needs in advance of meetings, conferences, etc.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Manage all aspects of organization’s office support, assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase of equipment, services, and supplies necessary for office operations.
- Other projects/duties as assigned.
**Qualifications/Experience**
- Proven experience in executive support, as an executive assistant, virtual assistant, or in a similar administrative role, including supporting C-level executives, and in handling client relations, particularly in a health, wellness, or entrepreneurial setting.
- High proficiency with office software (Microsoft Office Suite, Google Workspace) and desktop publishing software; ability to design and edit graphic presentations and materials.
- Strong verbal and written communication skills, exceptional organizational skills, and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including senior executives, staff, clients, etc.
- Ability to complete a high volume of tasks and projects with little or no guidance, to effectively prioritize, and react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Ability to maintain a high level of integrity and discretion in handling confidential information.
- Strong tech-savviness with experience in managing or supporting e-learning platforms (e.g., Teachable, Thinkific, Kajabi, LearnDash) is a plus.

Pay: $41,470.01-$60,000.00 per year
