**The Opportunity**

As the Marketing and Event Coordinator, you will be responsible for the end-to-end coordination and execution of all aspects of tradeshows, conferences, tours, and events. This role involves coordinating vendor relationships, logistics, budgeting, and ensuring seamless onsite and offsite execution to enhance brand visibility and engagement. During periods of low event activity, your responsibilities will include offering general administrative assistance to the Marketing and Communications team.

**What you will be doing**:

- Plan, organize, coordinate, and execute internal and external events, tradeshows, and tours.
- Develop and maintain master event and tradeshow list, and all event budgets.
- Plan and organize events according to internal and stakeholder requirements, including researching and hiring vendors, booking venues, planning transportation, inviting participants, and creating signage.
- Communicate directly with internal and external stakeholders throughout the event planning process to learn requirements and goals, coordinate guest list and vendor specifications, and ensure all parties understand relevant information and details.
- Negotiate contracts with venue personnel, caterers, hospitality staff, A/V providers, and other vendors to acquire necessary services and activities for events while meeting budgetary objectives.
- Collaborate with various teams to ensure event/tradeshow reflects the COVE brand, associated communications are coordinated, and facilities are adequately prepared for events and/or visitors.
- Participate in event set-up. Monitor and oversee entire event(s) from preparation and set-up through teardown to ensure adherence to planned format, compliance with regulations, cooperation between vendors, resolution of issues, and overall satisfaction of participants and sponsors.
- Perform post-event tasks promptly, such as meeting with key stakeholders to ensure satisfaction, and documenting issues and resolutions.
- Establish Standard Operating procedures for events and tradeshows.
- Develop and implement site tour schedules and engage with appropriate stakeholders as a point of contact, which will include the provision of site tours.
- Build relationships with the COVE Community including tenants.
- Daily data management of the Client Relationship Management system.
- Inventory monitoring, ordering, and overall management of COVE promotional products.
- Other Marketing administrative-related duties, as assigned.

**What you will bring**:

- Bachelor's degree in business administration or equivalent education and work experience with event management and/or marketing.
- A minimum of 3 years relevant experience
- Excellent written and verbal communication skills, including the ability to handle conflict calmly and professionally.
- Strong digital skills, proficiency with Microsoft Office Suite, specifically Word, Excel, and PowerPoint, and strong technical skills with the ability to learn new processes and systems quickly.
- Experience in developing and maintaining strong working relationships, combined with excellent stakeholder-facing skills.
- Highly motivated, analytical, logical thinker with a very strong attention to detail and the ability to meet multiple and/or unexpected deadlines in a fast-paced environment.
- Initiative, good judgment, a strong work ethic, and demonstrated ability to recognize risk
