**Job Summary**:
Now, if you were to come on board as our **Facility Coordinator**, we’d ask you to do the following for us:

- Take on responsibility for site Facilities tasks, requests and issues, and be a main point of contact for employees, visitors, vendors, contractors, and the landlord’s representatives.
- Conduct job safety reviews with contractors/employees.
- Develop safe work plans.
- Document using Computerized Maintenance Management Software (CMMS) ESFMx.
- Ensure maintenance work is properly documented on CMMS and service reports are logged.
- Provide on-site safety orientation for contractors/employees as applicable.
- Work closely with and oversee vendors, contractors and landlord representatives in the successful execution of cleaning, maintenance and repair requests on building systems, furniture, and office equipment.
- Ensure a high standard of office appearance is maintained in the areas and that all policies and processes are followed.
- Perform frequent facility and security inspections including documenting findings and tracking issues through resolution.
- Be on-call for possible after-hour site emergencies; available for after-hour scheduled maintenance and repair of various equipment and systems.
- Onboard new hires.
- Process invoices and ensure proper cost center coding.
- Manage Facility Direct ticketing system.
- Track and report workspace assignments and conference room usage; manage and update space utilization program.
- Event setup and supports.
- Maintain the emergency and evacuation programs including Emergency Response Teams and site crisis management.
- Conduct weekly cycle counts of stock for facility - PPE/cleaning supplies inventory control.
- Knowledge and experience with SAP (Systems, Applications, and Products) software is preferred.
- Perform monthly 5S audits and weekly cleaning audit walks.
- Schedule monthly PMs and service requests.
- Process vendor invoices, review, and approve them for A/P processing weekly.
- Open WO reporting.
- Perform weekly cost analysis - baseline and out-of-scope service cost review with FM and update PO tracker.
- HSE member - participate in weekly safety meetings.

- A minimum of one-year of front-line customer-service experience, plus experience overseeing the maintenance and repair of building systems and office equipment, or an equivalent combination of experience and training that provides the required knowledge, skills and abilities in a demanding, fast-paced environment.
- Knowledge of facilities management systems: Computerized Maintenance Management Software (CMMS) and facilities systems (plumbing, HVAC, electrical, etc.).
- Post
- secondary education.
- Excellent interpersonal and communication skills (verbal and written).
- Proficient in Microsoft Office.
