Responsible for planning facilities project components, and participates in the overall project planning, monitoring project details, deadlines and completion. Is the liaison between project clients, building property managers, contractors, and/or trades personnel
- Obtains, reviews and provides recommendations for projects and renovation plans based on functional requirements, space availability, and specific client requirements
- Communicates progress on projects to management and clients; coordinates the final inspection of completed projects, and provides follow-through on identified deficiencies
- Acts as the Department's point person for all facilities issues, liaising with internal and external contractors regarding projects; oversees work of short term contractors on routine and/or smaller scale renovation projects
- Plans project timelines, monitors progress, and modifies requirements as needed for all projects
- Develops renovation project budgets and monitors renovation costs through all stages of project completion
- Initiates and processes service orders, follows up with Facilities & Services as required
- Prepares purchase requisitions and purchase orders as appropriate, obtaining quotes as necessary
- Negotiates in conjunction with Facilities & Services Property Management, the maintenance contracts with external vendors for ongoing maintenance of shared facilities and communal scientific and office equipment
- Responsible for forecasting and monitoring the annual facilities maintenance budget of the Department; processes and tracks expenditures; reviews all month end Facilities & Services statements to ensure service order costs are as quoted or are in line with cost estimates; identifies and ensures charge back to clients for renovation and/or maintenance service order costs as appropriate
- Responsible for departmental access management
- Maintains directories and signage within the Department's facilities
- Investigates concerns related to facilities in order to resolve issues and provide information on space allocation
- Maintains departmental space inventory list
- Working in collaboration with identified stakeholders, arranges for relocation of programs, services, and employee workspaces resulting from emergencies or planned renovation projects
- Reviews space requests and makes recommendations, ensuring equitable space allocations and maximizing space utilization
- Coordinates the Department's Space Committee meetings (8 / year) and provides follow-up to committee members as appropriate
- Participates on the Faculty of Applied Science and Engineering Space Coordinators committee as departmental representative, ensuring departmental views and requirements are expressed and/or tabled
- Initiates, develops and implements space planning guidelines to improve efficiency in use of space while meeting the academic teaching, research and administrative needs of the Department based on priorities established through committees, task forces, and budgetary guidelines
- Oversees the graduate student offices within the Department and maintains records of seat assignments
- Coordinates and communicates building security and access control requirements with Facilities and Services, Campus Police and other stakeholders.
- Coordinates and communicates the impact of planned or unplanned Facilities & Services HVAC, mechanical and electrical shutdowns.

Contract length: 3 months

**Salary**: $40.95 per hour

- Monday to Friday
