Detailed Overview: Reporting to the Manager, Clinical Services and working under the direction of the Program Clinical Practice Leader, the Administrative Support Assistant provides regional administrative support to the Fraser Health Public Health Speech and Audiology programs. Performs a variety of administrative and clerical support functions; inputs, condenses and compiles data; assists with data analysis and preparation of reports as required; completes word processing assignments, payroll entry, records management, and general office functions., assists in the development and implementation of policies and procedures; provides support to regional administrative staff on data input, tracking and compilation. Responsibilities:

- Provides administrative and clerical support for the Speech and Audiology programs and staff; opens, sorts, prioritizes and distributes incoming correspondence and materials; schedules meetings and takes minutes as requested; composes general correspondence; and makes minor updates to internet/intranet web-sites in accordance with established procedures.
- Inputs, compiles and condenses non-technical statistical data from uniform sources requiring an understanding of data preparation and terminology involved; prepares forms, sets up statistical tables and assists in the preparation of routine reports.
- Prepares, processes and maintains manual and/or electronic records, files, statistical data, and reports on departmental activities; compiles, inputs, revises, updates and/or retrieves information; relieves professional and other staff of administrative detail.
- Prepares and processes documents for purchases (e.g. purchase orders, requisitions); forwards for approval as required, verifies coding and calculations, follows up on discrepancies. Investigates invoice anomalies and damaged shipments as required.
- Maintains regional equipment inventories; orders, tracks, and accepts supply shipments, and arranges regional distribution in collaboration with the program Clinical Practice Leader.
- Provides orientation and/or on-going training to new and existing regional program administrative staff by performing duties such as determining training requirements, orienting individuals and groups to data systems and scheduling procedures, trouble-shooting data errors, auditing client data entry, collating compiled data for contract funders.
- Performs general staffing and timekeeping functions such as calling in relief staff, gathering hours worked, coding hours into payroll system, and forwarding to payroll upon approval as required. Reviews verification reports, identifies discrepancies, and answers inquiries from staff as required in designated areas.
- Provides input into the development and evaluation of program policies, procedures, and standards.
