**Job Title: Dispatcher with Route Closing**

**Reports to: Assistant District Manager or Operations Manager**

**Salaried or Hourly: Salary**

**Summary of Functions**:
The Dispatcher is responsible for efficient route planning and assigning orders to drivers. The Dispatcher monitors drivers’ progress to ensure daily pick-ups are completed, and resolves issues that impede progress (e.g., contacting customers to resolve on-site issues). Once the routes are complete, the dispatcher is then able to close the assigned routes to ensure that customers are billed accurately for our services. The Route Closing process verifies that driver run sheets are correct, and resolves any discrepancies in data (e.g., disposal weights), so that daily route audit and disposal tracking reports may be verified.

**Essential Duties and Responsibilities**:

- Develop routes for the following day based on orders received from Customer Service; assign routes to drivers
- Prioritize same-day orders (from queue in staging area) to drivers, based on driver location and availability
- Provide print and electronic route schedules to drivers for planned and updated orders; follow up to ensure orders have been received
- Direct drivers to appropriate transfer stations
- Answer calls from drivers requesting pick-ups, and assign orders as appropriate
- Communicate traffic problems (e.g., congestion, construction) to minimize avoidable delays
- Monitor driver route progress (e.g., progress of orders) and driver location to ensure orders will be completed, as scheduled; re-assign or re-schedule as needed to meet service commitments
- Verify the nature of driver delays,(e.g., truck maintenance problem, traffic congestion, unscheduled breaks), and coordinate solutions where possible (e.g., dispatch mechanic to site)
- Communicate to drivers on changes in routes, or request for overtime hours; listen to and respond to drivers’ concerns re: schedules
- Escalate concerns about driver performance (e.g., unscheduled breaks) to the supervisor (Operations or Route Supervisor)
- Contact customers to inform of delays/missed pick-ups/revised timelines for pick-ups
- Call customers to inform them of on-site issues (e.g., blocked driveway) that need to be resolved in order for WCN to complete pick-up
- Relay customer needs for increase or decrease to current level of service obtained from driver (e.g., insufficient containers) to WCN Sales team to follow up re: changes to existing service
- Enter codes (e.g., dry run) on customer order to ensure correct billing information
- Close out and finalize routes from previous day (generate reports for management)
- Check drivers’ run sheets for accuracy (correct time and mileage at clock-in or clock-out, customer and transfer stations, return to yard, and breaks)
- Identify discrepancies in drivers’ time sheets (e.g., pick-ups that took longer than scheduled), and verifies accuracy of information (e.g., through truck’s GPS)
- Check weights and other information (e.g., ticket number, transfer station identification) on disposal tickets from transfer stations match drivers’ run sheets for all drivers
- Correct discrepancies by entering information from transfer station into TRUX, to ensure correct billing charge to customers
- Communicate run sheet errors to Productivity or Operations Manager or directly to drivers, so they can improve future accuracy
- Escalate on-going issues related to driver run sheets (e.g., inaccurate times, weights, etc.)
- Enter data (e.g., clock-in, clock-out, mileage, weight) from each driver run-sheet
- Run daily route audit and may run disposal tracking reports (after route closing) to ensure accuracy of data (e.g., disposal tickets have correct weight and transfer station code)
- Verify reasons and adjusts (e.g. roll off driver omits to clock in at customer site, but notes on paperwork) for credible data
- May maintain filing system for customer accounts (e.g., invoices), and disposal tickets

**Requirements**:

- Good communication, teamwork and interpersonal skills
- Knowledge of area geography, to plan routes efficiently
- Organization skills
- Data entry skills
- High level of accuracy, and attention to detail
- General office knowledge (e.g., filing, answering telephone)
- Good interpersonal skills required for working as part of a team
- Communication with drivers/customers.

**Physical Demands**:

- Work primarily performed in an office environment
- Frequent use of telephone and computer to complete duties
- Occasional walking may be required during the day.
