Job Title: Executive Personal Assistant
Location: Toronto
We are seeking a highly organized, proactive, and professional Executive Personal Assistant to provide comprehensive support to our executive team. As an Executive Personal Assistant, you will play a crucial role in managing day-to-day administrative tasks, ensuring the smooth functioning of the executive office, and facilitating effective communication within the organization. If you have exceptional organizational and communication skills, along with a strong ability to prioritize and multitask, we want to hear from you.
**Responsibilities**:
- Coordinate and schedule meetings, conferences, and travel arrangements for executives, ensuring all arrangements are well-organized and timely.
- Prepare agendas, meeting minutes, and other relevant documentation for executive meetings.
- Assist in the preparation of reports, presentations, and correspondence on behalf of the executives.
- Conduct thorough research and gather information as needed, providing relevant summaries and analysis to the executives.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Anticipate the needs of the executives and proactively address any administrative or logístical challenges.
- Serve as a point of contact between the executives and internal/external stakeholders, representing the executives in a professional manner.
- Assist in organizing company-wide events, team-building activities, and executive retreats.
- Perform general office management duties, including ordering supplies, managing vendor relationships, and maintaining office equipment.
**Requirements**:
- Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience).
- Proven experience as an Executive Personal Assistant or similar role, providing support to high-level executives.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
- Strong attention to detail, ensuring accuracy and quality in all administrative tasks.
- Excellent written and verbal communication skills, with the ability to communicate professionally with individuals at all levels of the organization.
- Proficient in using productivity tools and software, such as Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management systems.
- Discretion and professionalism in handling confidential information.
- Strong problem-solving and decision-making abilities, with a proactive and solution-oriented mindset.
- Ability to adapt and thrive in a fast-paced, dynamic work environment.
- Strong interpersonal skills and the ability to build positive relationships with internal and external stakeholders.
- Excellent multitasking and organizational abilities.

Pay: $43,812.47-$81,513.78 per year
