**Job Title**: Receptionist
**Hours/Week**: 30-37
**Hourly Rate**: $19.30
**Reports To**: Executive Director & Operations Manager
**Key Responsibilities**:
- Basic accounting, bookkeeping, budgeting, recording deposits, preparing receipts, cheques and invoices.
- Greet clients entering the organization and direct them to the correct destination.
- Provide information about the Eva Rothwell Centre and its programs as well as community partners that rent space within the Centre.
- Provide information to clients, and address queries from the public and customers.
- Interact and establish a positive rapport with the members. This includes keeping an accurate attendance of all clients in the facility.
- Responsible for PBX telephone system and virtual interface including setting up new staff, updating recordings, etc.
- Monitor visitor access and maintain security awareness.
- Prepare correspondence, PowerPoint Presentations, flyers and name tags.
- Create, update, and maintain databases, as well as digital and physical files including setting up and maintaining filing systems, both electronic and hard copy.
- Update and maintain confidential files and records. Handle sensitive material in accordance with established policies.
- Booking rentals, ensuring rental contracts are completed, correct payment is received and accurately recording information in the rental book.
- Register clients for programs including the Emergency Food Pantry, P.A. Day Camp, Breakfast and After School Program ensuring guidelines are followed such as minimum age requirements.
- Receive and sort mail and deliveries.
- Classify, sort, and file correspondence, records, and other documents.
- Print, photocopy, scan, laminate, and shred.
- Monitor and maintain office equipment including I.T. troubleshooting.
- Organize, tidy, and maintain the reception area.
- Prepare Emergency Food Pantry Bags for clients.
- To keep an open and clear communication with your direct Supervisor.
- To uphold and follow the Eva Rothwell Centre’s Mission, Vision, Strategic Pods and policies and procedures.
- Other duties as assigned.

**Knowledge, Skills, and Abilities**:
- Excellent verbal and written communication skills are essential.
- Have excellent customer orientation, demonstrating emotional intelligence.
- Be at ease navigating computers and software, learn new software quickly.
- Be at ease managing telephone system, printer, scanner, and copier.
- Excellent execution skills and organization skills.
- Ability to adapt well to often-changing fast-paced environment.
- Must thrive in a team-oriented, collaborative environment.
- Be able to work autonomously with mínimal supervision.
**Education/Experience**:
- Strong computer skills including proficiency in Microsoft Office Suite, Office 365, and Google Suite.
- Office Administration, Accounting, Bookkeeping or related field Diploma or Degree.
- Experience working in reception/customer service.
**Special Requirements**:
- COVID-19 Full Vaccination Requirement (prior to start of employment).
- Vulnerable Sector and Criminal Reference Check.

Pay: $19.30 per hour
