**TITLE**:Finance Manager

**RESPONSIBLE TO**:Evergreen Board of Directors

**FTE**:Permanent Part-time at 20 hours weekly

**SALARY**:$25/hr

**START DATE**:July 15, 2023

**REQUIREMENTS**:
3-5 years of relevant experience

Excellent organization, time-management, bookkeeping and administrative skills in running an office

An aptitude for finance and accounting with the ability to concentrate on detail and accuracy and follow

Generally Accepted Accounting Principals and procedures (GAAP)

Good practical knowledge of QuickBooks Professional (or equivalent accounting software), Fund Accounting, Excel spreadsheets, Microsoft Word, Outlook mail and Google Docs

Excellent written and verbal communication skills

Practical knowledge of the Society Act and experience working with an everchanging volunteer board of directors

Ability to work on site, independently and unsupervised, with a variety of people, and be flexible

Critical thinking and problem solving skills with an ability to manage challenges that may arise

**JOB SUMMARY**:The Finance Manager is responsible for maintaining records of all the society's financial activities including but not limited to: accounts receivable, accounts payable, payroll, budgets, and annual and monthly reporting to the Treasurer. Provide financial records necessary for grant proposals and reporting. Work closely with the Treasurer, and is responsible to the Board of Directors. It is expected that all work is performed by Generally Accepted Accounting

Principles (GAAP) guidelines and practices.

**Accounts Receivable**:

- Maintain and update accounts receivable data, collections and monthly reporting to the
Treasurer.
- Maintain and track monthly, all accounts receivable. Report overdue accounts to the
Treasurer according to the Overdue Tuition Policy and manage collection procedures.
- Issue Charity Tax receipts to individuals or businesses and record donations received.
- Manage collections of NSF payments. Contact families and arrange for collection.
- Assist Administration Assistant with re-enrolment tracking and collection of deposit payments.
- Maintain all records of the PAC account. Following GAAP guidelines and practices.
- Record all fundraising deposits. Report net fundraising income to committees.
- Maintain all records of the Gaming account. Following GAAP guidelines and practices.
- Attend CHAAP/Fun Fair events. Record all Fair deposits and purchases. Prepare and supply all floats. Prepare spreadsheets for reporting to the convener/treasurer.
- Administrator for Sundrops Centre for Child Development Clements Centre Society.
Wage subsidy plan. Initial/annual set up for wage rates per employee working with an individual student. Submit monthly claim forms for each student eligible.
- Administrator for the Ministry of Education and Child Care, all areas of the Child Care
Operating Fund. Working with the Administration Assistant on a monthly basis to track
Child Care Fee Reduction Initiative credits for students in the Junior Kindergarten program.

**Accounts Payable**:

- Prepare cash float cheques for fundraising events/ensure floats have been returned
- Submit any necessary taxes, grants or fee remittances
- Submit and reconcile mortgage payments to VanCity Credit Union, tracking principal and interest amounts. Discuss mortgage renewal terms and rates with the Treasurer.
Collaborate with VanCity regarding procedures and paperwork for mortgage renewal.
- Administer Schools Insurance policy held through Westland Insurance. Submit report forms, authority signed forms and review policy for errors or corrections.
- Process semi annual GST report/rebate to Canada Revenue Agency. Record separate
Prov and Fed portions of PST and GST ensuring accuracy of appropriate claimable percentage of GST is recorded at source vendor invoice.

**Banking**:

- Maintain 6 bank accounts. General, Legacy, Premier, Capital, PAC and Gaming
- Bank deposits for all accounts. Online e transfers as well as physical handling of cash and personal cheques.
- Correspond with Island Savings Credit Union and VanCity on any changes that need to made to the accounts or mortgages. i.e.: signing authorities
- Manage and monitor cash flow.
- Monthly Bank reconciliations for all accounts
- Record monthly mortgage principal and interest

**Reporting**:

- Maintain and monitor for accuracy, Financial Statements, Charity Return, SOPSOC report, general ledger, trial balance and profit and loss statement
- All data input
- Provide monthly financial reports to the Treasurer by the 15th of the following month - before board meeting
