We are currently recruiting for a full-time permanent Fire Services Administrator in our Fire Services Department.
About the opportunity:
While reporting to the Deputy Fire Chief Support Services, the Fire Services Administrator is responsible for the provision of quality, professional support to the Fire Chief, senior Fire Services staff, other management staff, and all firefighters/paramedics. This is a key position for the scheduling of shifts for firefighters and paramedics, as well as for the understanding of systems/software and the generation of data and reports. The Fire Services Administrator will function according to the established policies and procedures always displaying tact and diplomacy, thereby delivering a high standard of service delivery for both the department and the City of Leduc. This position is also required to adapt and adjust to competing requests and be able to multi-task accordingly.
Responsibilities include but are not limited to:
- Scheduling of firefighters and paramedics to ensure minimum staffing levels- Work with a variety of software packages including Excel, customized FDM and Fire Manger to gather, process and generate reports on data for personnel, property, and incident databases- Correspond with outside agencies to obtain required follow-up information, as required- Input all relevant Patient Care Report (PCR) data to the Alberta Ambulance Information Management System- Coordinate and provide administration to input all relevant data for Alberta Health Services EMS quarterly reporting- Billing of outside agencies for services rendered by Leduc Fire Services- Monitor social media for Fire Services, updating departmental website and intranet using content management system- Maintain Standard Operating Procedures (SOP & SOG) files- Create Fire Department orders: FD notices, admin orders and apparatus notices- Create agendas, notes and action item lists for meetings as required- Maintain Outlook calendars by coordinating, scheduling and modifying meetings when necessary- Assist with budget preparation and tracking- Conference and travel arrangements as required
Qualifications:
- 2-Year Office/Administrative Diploma from a recognized post-secondary institution or equivalent experience- Minimum of three (3) years of progressive, related administrative experience in a demanding, fast-paced office environment-
- Superior analytical, interpersonal, public relations and verbal/written communication skills with an eye for detail and accuracy to enable effective teamwork and prioritize workload effectively- Experience working in municipal government is considered an asset- Must be willing to provide a current Criminal Records Check at own expense
