The Office Manager will need to be organized, efficient and good at multi-tasking as he/she will be directly involved in the overall operation of the office. More specifically, they will be directly involved with data processing, vetting information from field staff and assisting with creating reports, coordinating office and staff workload. The Office Manager will need to be bilingual (English/French) as they will be communicating both written and verbally with clients and co-workers in both languages. The position works closely with the Operations Department Managers and ultimately reports to the Regional Manager.

**Responsibilities**

Provides overall administrative support to the management team. This could include but is not limited to the following:

- Assist with dispatching field inspectors; Maintain field staff schedule and review timesheets
- Creating job files, collecting and organizing data, generating reports, certificates and invoices
- Reviewing field reports and data. Summarizing into client, end user focused reports.
- Uploading finalized reports and invoices to various client systems
- Coordinate and maintain documents such as staff training records, meeting minutes, quality assurance records, etc.
- Scanning documentation and entering data into our record management system
- Ensuring all documents reach the end users in a timely manner.
- Arranging couriers for pickup and deliveries
- Orders and maintains office supplies and equipment for departments and projects
- General clerical duties including photocopying, scanning and data entry, answering phone calls, etc.
- Taking on other duties as assigned and as operational priorities change

**Salary**: $50,000.00-$55,000.00 per year
