Job Responsibilities:
**_ Administrative: _**
- Systems used: internal ATS, various Vendor Management Systems (VMS) such as Fieldglass, Beeline, Wand, MS Office (Outlook, Excel, Word, OneDrive, OneNote), various background check company systems.
- Onboard new hires, create offer letters, send out offer packages for respective clients.
- Conduct background checks, employment verifications, education references and mark items as completed in the system.
- Ensure all files and documents are saved and labelled appropriately in the ATS
- Enter absences into the ATS/VMS system, coordinate with payroll team when
- Action revisions and extensions across multiple systems using appropriate forms.
- Complete monthly and quarterly audits from respective accounts and/or any reports
- Send background check list to client’s once contractors have started working if
- Offboard workers, send End of Contract letters, terminate the contractor in the
- Compile and send termination report to payroll weekly.
- Provide support with conducting counsel calls and terminations if needed.
- Add descriptions and post jobs to the company website.
- Assist with adding job requisitions in ATS system in needed.
- Tech-savvy and highly proficient in using Microsoft Office tools (Outlook, Excel, Word, OneDrive, SharePoint). Proficient in Adobe and other systems.
- Assist with creating new offer templates and packages when necessary.
- Maintain well-organized folders and templates on OneDrive, ensuring efficient utilization across both lines of business.
- Offer support for various recruitment and HR initiatives, including special projects that may entail conducting research and providing insightful recommendations for solutions.

**_ Customer Service:_**
- Manage correspondence in the Engagement Support inbox.
- Follow up with workers regarding draft timesheets on a weekly basis.
- Correspond with background check companies, provide direction, and offer solutions when needed.
- Demonstrate an initiative-taking approach with a strong problem-solving mindset.

**Qualifications**
- Previous experience in recruitment coordination or a similar administrative role.
- Exceptional organizational skills with the ability to manage multiple tasks and priorities effectively.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrate a proactive approach with a strong problem-solving mindset.
- Tech-savvy and highly proficient in using Microsoft Office tools (Outlook, Excel, Word, OneDrive, SharePoint). Proficient in Adobe and other systems.
