Position Overview

As a key member of the Office of the City Clerk leadership team, this position is responsible for ensuring that professional legislative services are provided to City Council, Standing Committees, Citizen Advisory and Citizen Committees, and special purpose committees. This includes developing and maintaining corporate-wide policies and procedures related to the portfolio. This position also assists the City Clerk with the municipal election.

**Responsibilities**:
Leading a team of highly-skilled individuals, this position will:
- As part of the leadership team, manage the day-to-day operations of the section. Participate in or lead inter-departmental and corporate project teams.- As Deputy City Clerk, ensure compliance with all relevant legislation such as the _Municipal Act_ and _Municipal Elections Act_ legislation. Perform statutory duties such as swearing of oaths and affidavits, and the execution of documents on behalf of the Corporation.- Assist the City Clerk in the operations of corporate accountability officers, such as Ombudsman, Integrity Commissions, and Closed Meeting Investigator. This may include reviewing agreements, policies, procedures, and case management.- Provide direction to Committee Clerks and Committee Assistants in their delivery of professional secretariat services to Standing Committees, Advisory Committees, and Boards. This includes preparing and managing agendas and minutes, confirming that legislative requirements are met, ensuring webpages are updated, and providing advice to staff and the community. Lead the onboarding and orientation of City Council. Plan the Inaugural Council meeting and swearing-in ceremonies.- Facilitate community involvement and empowerment through coordination of advisory committee recruitment and management, training, and recognition.-
- Oversee technology innovation to enhance secretariat services for City committees and boards.- Maintain public data sets such as the disclosure of pecuniary interest register, the section’s open data sets, and staff direction reporting.- Prepare and monitor the section’s and Citizen Committees’ current and capital budget requirements.

**Requirements**:
You have a community college diploma or university degree in Public Administration, Political Science, or closely related field. Completion of the AMCTO Municipal Administration program or Municipal Law program and CMO designation is preferred. You also have a minimum of five (5) years of job related and/or municipal experience including at least two (2) years working in a supervisory role.

You have a track record of accomplishing objectives and promoting a positive customer experience through a combination of exceptional communication skills and an ability to develop collaborative partnerships at all levels throughout the organization and community. In a leadership role, you demonstrate strong project management and organizational skills. You will need these to navigate competing priorities successfully and meet multiple deadlines with a high degree of accuracy and attention to detail.
