Administrative Coordinator, Document Conversion

The Opportunity

The Alberta Energy Regulator is seeking a Document Conversion Coordinator to join our Data & Information Services team in Edmonton.

We are looking for a self-starter, detail orientated, enthusiastic individual who is reliable and approachable to fill the position of Administrative Coordinator, Document Conversion. As a member of the team your role is accountable for the quality control, records management, and shipping of converting regulatory paper submitted documents to digital format. Our team is a group of diverse roles that are responsive to the needs of our internal and external stakeholders. You will work collaboratively within the team, scanning vendor and the Ministry of Technology & Innovation.

What your day-to-day will look like:
- Build relationship and collaborate with Ministry of Technology & Innovation business partners to collect paper documents submitted under- Specified Enactments
- .- Perform quality control audits to ensure the transfer of files from paper to digital (i.e. progressive file transfer) are legible, complete and accurate, and escalate discrepancies to the scanning vendor.- Coordinate daily shipments of Arc boxes between AER, Ministry of Technology and scanning vendor.- Reconcile monthly invoices to ensure the invoice provided by the scanning vendor reflects services they have provided to the AER.

What we’re looking for in you:
- High School Diploma with 2 to 5 years business field experience.- Experience with Microsoft 365.- Strong communication skills (written and verbal).- Excellent interpersonal skills and ability to easily establish and maintain credibility.- Ability to effectively manage multiple tasks concurrently and respond to changing priorities.- Strong attention to detail through analyzing documents for errors and inaccuracies.- Knowledge of regulatory lifecycle is an asset, the AER’s regulatory system and work of branches at the AER is an asset but not mandatory.- This role has a business requirement to work from Edmonton Regional Office.
