Document Control Coordinator

**TransEd Valley line LRT is looking for a Document Control Coordinator to join their team of Rail Professionals. Reporting to the Contracts Manager, the primary goal of the Document Control Coordinator is to control company documents while ensuring their accuracy, quality and integrity. Ensuring that quality records are identified collected, implemented, revised, indexed, filed, stored and maintained according to internal procedures. In addition, will be required to ensure adherence to record retention policies and safeguard information protocols..**
**Who We Are**
TransEd Valley Line LRT is the first piece of the Valley Line project in Edmonton. Connecting Millwoods to downtown Edmonton, the Valley Line allows commuters to go from the South East of Edmonton to any where the LRT stops.
**A typical day for the Document Control Coordinator**
- Act as Key User for TransEd’s document management system (DMS)
- Identify and report problems / bugs in DMS
- Provide training and support to staff on document management systems and processes, promoting best practices for document handling including documentation retention, retrieval, destruction and disaster recovery
- Implement and oversee document control processes, including version control, tracking, and distribution of documents to ensure proper compliance and accessibility
- Check the quality of documents and correspondence
- Enter and maintain accurate information for all project deliverables
- Ensure required fields of information on documents and requests are accurate
- Ensure timely transfer of electronic files through coordination with internal and external parties
- Manage the release and obsolescence of controlled documents
- Record and track internal and external distribution of documents
- Assist with file migrations and audits to ensure compliance
- Checks the accuracy of transmittals
- Registers all technical and reference documents
- Provide system administration support for TransEd’s Business Management Tools like Share Point, as required
- Store, manage, retrieve and track company documents
- Provide input regarding improvements to document control processes
- Organize and track Change Orders, subcontracts, warranty/latent defect claims and insurance defence and subrogation matters.
- Manage inbound and outbound correspondence
- Draft basic outbound correspondence
- Develop/improve company templates
- Other duties and projects as assigned
