**Job Title**:Operations Assistant, ISN Maskwa

**Reports to**: Vice President Operations and Director of Operations

**SUMMARY**

The Operations Assistant, under the Vice President of Operations with supervision from the

Director of Operations, will support and enable the effective management of administrative responsibilities that fall under ISN Maskwa.

This entry-level role is an important and integral part of the Maskwa operations with a primary focus on supporting key members of the Maskwa team.

The Operations Assistant will collaborate with internal and external partners to coordinate work efforts and ensure deployments and trainings are planned, organized and executed within the required time frames achieving **high levels of client and community satisfaction.**

**NOTE: This position requires travel in Northern Ontario for 1-2 weeks at a time a few times**

**a year to support training sessions.**

**JOB DUTIES**

▪ Provide direct administrative and office management support to ISN Maskwa

▪ Build and maintain morale with ISN Maskwa temporary and part-time staff by setting and demonstrating a positive business attitude

▪ Assist with the coordination of staffing and logistics (hotel, travel, rentals) for new deployments and trainings

▪ Assist with the organizing and planning various conferences, events and training sessions

▪ Assist with the onboarding and training of new ISN Maskwa staff

▪ Conduct financial data entry (hours, expenses, invoices, etc.)

▪ Ensure expenses and invoices for various matters are tracked and processed by Finance for payment

▪ Provide on-site administrative support for training sessions in Northern Ontario for 1-2 weeks at a time a few times a year

▪ Coordinate files from intake to invoice including but not limited to: o Correspond with the Client and draft necessary proposals or letter of engagements o Complete the data entry into ISN case management system o Assist management with assignment of files, ensuring investigations are scheduled based on location, investigator availability, and skill set o Prepare and issue invoices to clients - if specified, send the invoice to management for approval o Ensure the Client receives report and associated invoice o Ensure all finalized documents (reports, invoices, etc.) are stored securely

**REQUIREMENTS**

**Education/Experience**

▪ Secondary School Diploma required

▪ Post-Secondary Diploma in Criminology, Business Administration, or relevant discipline, or equivalent experience.

▪ 1-3 years of administrative experience

**Skills**

▪ Advanced Microsoft Suite and general technology skills

▪ Excellent communication skills, both verbal and written

▪ Thrives in a fast paced environment, with the ability to adjust quickly to change and a ‘can do’ attitude.

▪ Well organized, resourceful, with excellent multi-tasking and prioritizing skills with the ability to work within tight deadlines while still maintaining a high level of accuracy and attention to detail.

**WORKING CONDITIONS**

▪ Ability to work independently and as part of a team

▪ Capacity to attend and conduct meetings and training sessions, both virtual and in person

▪ Ability to travel through Ontario and Canada as needed

**Salary**: $36,000.00-$38,000.00 per year
