Office Manager/real Estate

**Job Overview**:
We are seeking an experienced and highly organized Office Manager to join our dynamic real estate brokerage. The Office Manager will play a key role in the daily operations of our office, ensuring a smooth and efficient workflow. This position requires a proactive individual who can manage administrative tasks, support staff and agents, handle client inquiries and complaints, and coordinate meetings and events.
**Key Responsibilities**
**Administrative Management**
**Office Organization**:
Maintain an orderly and efficient office environment.
Oversee the procurement and management of office supplies and equipment.
**Record Keeping**:
Maintain accurate records of real estate transactions, client information, and financial data.
**Recruitment and Management**
**Recruitment**:
Manage the recruitment process for real estate agents including job postings, interviews, and onboarding.
**Staff Supervision**:
Train, supervise, and evaluate administrative staff.
Provide support and guidance to staff, fostering a collaborative work environment.
**Agent Support and Client Relations**
**Agent Inquiries**:
Serve as the primary point of contact for agent inquiries and support.
Assist agents with administrative tasks, scheduling, and documentation.
**Client Interaction**:
Address client inquiries and provide excellent customer service.
Handle and resolve client complaints promptly and professionally.
**Meetings and Event Coordination**
**Scheduling and Coordination**:
Schedule and coordinate meetings, property showings, and training sessions.
Prepare agendas and take minutes for meetings as required.
**Event Planning**:
Plan and organize company events, including open houses, client appreciation events, and staff functions.
Coordinate logistics, vendors, and promotional materials for events.
**Technology Management**
**Tech Support**:
Oversee office technology
Provide basic IT support and liaise with external IT services.
**Compliance and Risk Management**
**Risk Management**:
Identify potential risks and implement measures to mitigate them.
Manage and resolve complaints
**Qualifications**
Minimum of 2 years of experience in real estate.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite and real estate software.
Ability to handle sensitive information with confidentiality.
**Working Conditions**
Full-time position based in Markham.
Occasional evening or weekend work may be required to support events or meetings.
Ability to handle a fast-paced environment and manage multiple priorities.
