Job Summary

This position is responsible for training College of Graduate Studies’ staff and faculty on graduate administrative systems, and is responsible for training Okanagan graduate administrative staff and faculty on e:Vision, SISC, and Workday Student. This position also provides e:Vision support for the Okanagan campus, which includes managing system access and providing basic technical support.

Organizational Status

Reports to the Associate Director, Admissions & Records. Responsible for campus-wide training on all student systems used by graduate administrative staff & faculty. This position liaises and communicates with students, faculty, and staff across both UBC campuses.

Work Performed

Evaluates the software and technology needs of the College of Graduate Studies and graduate administration on the Okanagan campus:

- Analyzes and verifies business requirements to assess current technologies against current and future needs.
- Gathers and documents functional requirements from College of Graduate Studies’ staff and faculty, as well as Okanagan graduate staff and faculty.
- Researches and assesses available technologies and makes recommendations to meet the needs of the campus.
- Implements new technologies and systems, including developing future business processes related to new technology.
- Plans and communicates change management activities for new technology.
- Actively participates on relevant UBC committees and groups, including participating in enterprise-wide systems’ initiatives.
- Communicates about projects and systems to the Okanagan graduate community.
- Assists with solution development and implementation to improve efficiency and effectiveness.
- Proactively plans for changes by identifying, analyzing, recommending and implementing appropriate system enhancements that will improve existing information systems and improve business processes and productivity.
- Trains all College of Graduate Studies’ staff and faculty on processes and systems including, but not limited to, e:Vision, SISC, and Workday.
- Provides support and information as required to assist in the timely resolution of issues or problems.
- Trains all Okanagan graduate administrative staff on the use of e:Vision, SISC, Workday Student, and relevant College of Graduate Studies’ policies and procedures.
- Assists with the development, implementation and delivery of new and existing technologies and systems.
- Provides references for users by writing and maintaining user documentation; provides help desk support and trains users.
- Develops and delivers effective presentations and workshops.
- Hosts scheduled and on-demand training and drop-in sessions for Okanagan staff and faculty.
- Builds and sustains collaborative relationships across UBC.

Provides e:Vision support and access:

- Provides Tier I support for technical issues, and corrects minor errors in SITS/e:Vision for Okanagan applicants, staff, and faculty.
- Processes e:Vision access requests for Okanagan faculty and staff, and regularly reviews access holders.

Performs other duties as required.

Consequence of Error/Judgement

Providing poor training on graduate administrative systems will result in inefficient practices across the Okanagan campus, and impact the unit’s ability to meet its operational and strategic objectives.

Poor working relationships may have a negative impact on the reputation of the College of Graduate Studies and affect relations with various contacts.

Errors in SITS/e:Vision may impact the campus’ ability to recruit top students.

Supervision Received

Works independently under general direction. Work is reviewed in terms of effectiveness of services

provided and conformity with University policies and guidelines.

Supervision Given

Trains staff and faculty in the College of Graduate Studies and will participate in probationary performance reviews. Provides direction to support staff and may manage students.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of three to four years of related experience, or an equivalent combination of education and experience.
