**1. JOB SUMMARY**

Assist the Bank to complete various tasks assigned by the President and the Parent Bank in a more systematic and organized manner, assist the Executive Office to maintain good communication with departments and branches, organize work meetings and take meeting minutes, complete various work reports required by the head office, strengthen the brand promotion and reputation risk management of the Bank, assist in organizing activities of the Bank.

**2.DUTIES AND RESPONSIBILITIES**
- Receive and register the documents sent by the Parent Bank daily and forward them to the corresponding department. For those needs to be replied, remind the leading department one day before the due date.
- Responsible for the circulation, registration and archiving of very important documents and confidential documents (business confidential red head documents).
- Responsible for organizing the meeting held by the Executive Office, notifying the participants and participating in the meeting to take the meeting minutes if necessary.
- Record the work tasks assigned by the president, and regularly supervise the work progress of the corresponding departments.
- Responsible for the update of our bank's extranet, review the updated or newly added content need to be uploaded to extranet provided by the department, and sends it to the head office in time.
- Responsible for the account management and annual review of the Bank’s WeChat official account, and assist other departments to issue articles to WeChat official account.
- Responsible for the brand promotion management of the Bank, including writing articles, uploading articles to the intranet of the Parent Bank, reviewing articles of departments and branches, writing and publishing WeChat official account, quarterly statistics and reporting of manuscript submissions by departments and branches, and organizing training for brand propagandists of each department.
- Responsible for the Bank's internal and external promotional videos, including scripts, shooting, and editing, etc.
- Responsible for completing various work tasks and reports assigned by the Parent Bank, including dividing tasks to corresponding departments, summarizing, reorganizing and submitting.
- Responsible for maintaining good communication with the Parent Bank, coordinating with departments and branches.
- Responsible for the bank's reputation risk management, daily monitoring of public sentiment, including local mainstream media reports, Google Maps Reviews, Social Media Platforms Reviews etc. and take corresponding notification or improvement measures when necessary.
- Management of business travel and hospitality expenses of members of the Executive Office, including budget, ledger records, and statistics.
- Perform other duties assigned by the Head of Strategy Promotion & Management Department.

**3. JOB SPECIFICATIONS**
- Completed post-secondary education in related filed.
- Minimum of 1 year experience in a related role required.
- Ability to converse fluently in English and Mandarin is essential.
- Ability to perform tasks in an accurate, efficient and timely manner.
- Extremely proficient with Microsoft Office Suite.
- Excellent organizational skills with the ability to handle complexity.
- Deconstruct tasks and break it down into detailed works.
- Excellent problem-solving skills and the ability to make fact-based decisions.
- Ability to work independently and reliably.
