**Job description (Facilities Coordinator)**

The Facilities Coordinator will provide administrative support with contract service delivery, accounting and finance, inventories, recordkeeping, inspections, and will provide operational support to ensure the buildings systems and equipment are operating effectively, efficiently and safely.

This role will report directly to the Facilities Manager, and works with maintenance staff, reservations teams, tenants, and other GEC departments to proactively develop and maintain relationships ensuring that expected service levels are achieved.

To be successful in this role, you should be well-organized and able to prioritize multiple issues. Knowledge of building codes and regulations, building systems and equipment, and facilities maintenance is required.

**DUTIES**:

- Schedule, plan, and oversee maintenance, repairs, and other work requests across GEC sites.
- Analyze, evaluate, plan, and provide costs for maintenance, repair work, or supplies.
- Proactively inspect grounds, facilities, systems, and equipment to determine if repairs or preventive maintenance is required.
- Ensure proper operation and maintenance of various buildings systems (HVAC, electrical, mechanical and security systems etc.) and equipment; includes performing routine inspections, operational tests, or minor service.
- Ensure the safety of the buildings, staff, clients, and public from fire, flood, and other hazards by ensuring that all mandated tests and inspections are carried out.
- Ensure safe work practices are followed and work is performed in accordance with company policies, procedures, and standards at all times, including contractors and other GEC staff.
- Ensure proper documentation and recordkeeping of facilities preventative maintenance, repairs, costs, inventories, and performance metrics.
- Supervise contract and vendor services associated with service agreements, projects, or on demand services to ensure deliverables are met effectively and cost-efficiently. Assist with contractor and vendor service agreement development.
- Assist in the proactive continual improvement of the building operation manual and GEC facilities policies, procedures, and practices.
- Assist in proactively assessing current and future needs or efficiencies of all buildings. Identify, prioritize, and recommend new projects, equipment replacement, or preventative maintenance work.
- Be available for on-call duty to respond to emergency situations.
- Schedule, supervise and monitor the work of other team members as assigned by Management
- Handle the ad hoc requests by Management to provide coverage to other GEC properties as required.
- Perform maintenance on the grounds including shoveling and salting the walkways and entrances as required in the winter
- Perform basic repairs and maintenance in suites and common areas not requiring the use of skilled trades as required
- Provide customer service-related duties to tenants as required
- Identify any infractions of GEC policies, rules, or procedures and/or forwarding them to the appropriate level of management
- Other duties as assigned

**Requirements**:

- 1-2 years experience performing administrative tasks in relation to building maintenance
- 2-5 years work experience in building maintenance and operations
- Strong knowledge of plumbing, electrical, HVAC, and life safety systems including knowledge of building, property, tenancy related codes, bylaws, regulations, and occupational health and safety.
- Strong organizational and time management skills to prioritize tasks effectively, and the ability to prioritize work according to changing demands.
- Good knowledge of basic office equipment, MS Office, Teams, and Sharepoint.
- Ability to read and interpret technical manuals, blueprints, and schematics.
- Experience in access control systems, security systems, or basic locksmithing would be an asset
- Working in a non-unionized environment
- 1 year project management experience preferred
- Good physical mobility and able to stand or walk for extended times. Able to climb ladders, bend, or crawl into awkward spaces.
- Class 5 drivers license with a clean driving abstract preferred. Access to reliable transportation to travel to GEC sites or pick up tools or supplies as needed.
