**Responsibilities**:
The Graduate Program Coordinator (Graduate Officer) provides leadership in the areas of academic and administrative support for all the graduate programs in the Faculty of Engineering, in conjunction with the Associate Dean, Graduate & Postdoctoral Studies, ensuring the success of the Faculty of Engineering Graduate programs. The role identifies deficiencies in process and programming, and leads the development and implementation of new processes to address these concerns, improving the program offerings and administrative support across the Faculty. In addition, the role ensures all Engineering Departments and graduate programs provide consistent and established support to provide the “best graduate student experience”. The Graduate Program Coordinator manages the implementation of the components of the graduate strategic plan and ensures compliance of the Graduate Teaching Assistants and Postdoctoral Associate collective agreements.
- KEY ACCOUNTABILITIES:
- Supports the Associate Dean (Graduate and Postdoctoral Studies) in the development, revision, and implementation of Graduate academic initiatives in Western Engineering’s eight academic programs for approximately 800 graduate students and 100 postdoctoral associate and fellows.
- Collaborates with Associate Dean (Graduate and Postdoctoral Studies) to plan annual budget of the Unit (roughly $3.1 million) which includes graduate student financial support (~$500,000) and graduate teaching assistantships (~$2.6 million).
- Interprets and implements University graduate academic policies and regulations.
- Responsible for the oversite administration and management of Graduate Student funding plans in the faculty of Engineering, and collaborates with the Associate Dean (Graduate and Postdoctoral Studies) to effectively communicate any changes to staff, faculty, and administrative leaders in the Faculty.
- Develops project plans and processes, and leads the implementation of all improvement initiatives related to graduate students and postdoctoral fellows in the Faculty, including the development and/or implementation of new technological enhancements, and administers all training and guidance to graduate staff and administrative officers, where applicable.
- Manages and administers various Graduate Student services including admission of domestic and international students (approximately 400-500 per year), course and new student, counselling, discipline and appeals, study space allocation and management, awards and scholarships, teaching assistantships, review of graduate enrolment and funding data, and class scheduling.
- Responsible for the oversite of health and safety requirements for all Engineering Graduate Students, which includes: ensures graduate students are informed of policies, practices and training opportunities; conducts training sessions; and monitors completion and recertification,
- Key leader in conjunction with the Associate Dean (Graduate and Postdoctoral Studies) to administer crisis management intervention, as necessary.
- Communicates, often confidentially, with various on-campus agencies including Services for Students with Disabilities, Campus Community Police Services, and Student Health Services
- Supervises the work and performance of two Graduate Affairs Assistants in the Dean’s Office
- Responsible for the organization of major academic events (eg; orientation, recruitment events) and student awards (eg; National and Provincial competitions, donor awards, annual awards banquet).- Acts as a resource to department chairs, associate and assistant chairs (Graduate), and administrative staff on administrative and collective agreement matters related to Graduate and Postdoctoral Studies, in consultation with the Director of Administration.
