We currently have an exciting opportunity as a **Receptionist for a temporary placement of three months, with the possibility of extension. **This role is based in our Oakville office and reports to the Executive Assistant.

**Job Summary**

**Principal Responsibilities**
- Welcome guests and employees by greeting them in person or on the telephone and answer or refer inquiries, in a professional and enthusiastic manner
- Main point of contact for employees or receiving guests and visitors
- Review and schedule room bookings as requested by employees
- Manage ordering of office supplies for the printers and kitchen. Ensure all office equipment i.e. photocopiers and printers are in good working order and supplies are on hand.
- Maintain safe a clean reception area by complying with procedures, rules, and regulations
- Manage and prepare all mail and courier packages and ensuring they are sent and delivered in a timely manner
- Prepare purchase orders for invoices received
- Arrange meeting room schedule and bookings for employees as required
- Conduct morning and evening rounds to ensure all guest boardrooms and meeting rooms are orderly and provided with a common set of supplies
- Coordinate catering for employee meetings as requested
- Work with building property management as needed to ensure all workspace is functional and no operational hazards exist
- Other sundry duties, as may be requested from time to time, including assisting with back-up functions for other administrative staff during vacation or other absences to ensure ongoing administrative support
- Assist with small projects as required by other administrative support (i.e. labels, bulk mailing, ordering office supplies etc.);
- Complete other duties as assigned

- Strong organizational skills, along with the ability to prioritize tasks
- Strong analytical and communication (both verbal and written) skills
- Strong interpersonal skills and pleasant telephone manner
- Ability to organize tasks and prioritize responsibilities
- Ability to function well independently and a member of a team
- MS Office Skills
- Attention to detail and a ‘can do’ attitude
