Administration and Marketing Coordinator

Directly support the CEO, President and CFO of a company operating in the renewable energy space. We are looking for someone who fits in well with our high energy team, proactive, technically savvy and with a proven track record of anticipating needs and managing your own time effectively. You will need to wear many hats and be able to quickly pivot as new priorities arise. This role will have fluctuating periods of high and low demand, depending on on-going priorities.
We are seeking someone with administration, marketing, and light bookkeeping experience working in a private company setting with a broad mandate. Prior experience supporting C-Suite executives is a must. Someone with experience within a small company where employees’ roles are broad-ranging and who has demonstrated an ability to learn new skills, will stand out This is a permanent position based in Calgary with a wonderful corporate culture.
- *Note: This is primarily a work-from-home position. You may be required to perform certain duties at the Company’s office periodically and will be required to go into the office at least one day per week to manage the mail._
**Job Duties/Responsibilities**:
Administration
- Booking meetings and calendar management for CEO
- Ordering/managing office supplies, services and equipment
- Coordinate conference speaking engagements and attendance
- Meeting material preparation - editing and formatting
- Arranging meetings/events, attending meetings and taking meeting minutes
- Booking travel
- Assist with the board meetings, take meeting minutes and requests of the board
- Manage incoming/outgoing mail and couriers
Marketing
- Liaise with PR Firm on behalf of the company
- Manage changes to company website
- Maintain database of contacts
- Receive inbound press opportunities and determine what needs the attention of the executives
- Assist with social media (Facebook, Twitter, LinkedIn) - work with Creative Group for content - then manage posting
- Coordinate the creation of marketing materials and assets
Accounting
- Receive all invoices, coordinate approvals, and enter into Quickbooks Online
- Complete cheque runs
- Prepare revenue invoices
- Complete bank deposits
- Complete monthly Mastercard reconciliations
- Prepare monthly expense reports - compilation and reconciliation
- Assist with insurance and audit - annual basis
- Assist with T-slip distribution during tax season
- Support accounting with data entry and budgeting
I.T.
- Main I.T. point of contact and assist with cybersecurity, etc.
- Liaise with telecommunications provider for new phones for the executives/staff, manage phone tree/landlines
- Coordinate supply of hardware
HR
- No HR in house - assist with and manage employee benefits

**Salary**: $70,000.00-$80,000.00 per year
