The Inter-professional Resource Team (IRT) is a corporate resource to support staffing needs across Providence Healthcare and The Cardinal Ambrozic Houses of Providence. Reporting directly to the Patient Care Manager (PCM), the Operations Leader, IRT, will provide a high level of co-ordination and administrative, analytical and data management support for the IRT. The Operations Leader will work closely with the PCM and the various teams to ensure the smooth operation and timely communication with all stakeholders.

The Operations Leader, IRT, provides leadership, expertise and support to all staff in the IRT. Ensures the efficient operation of the IRT focusing on ongoing job related training, monitoring, completion of workload/assignments, while ensuring all work activities are carried out in accordance with set policies/procedures and in a timely basis.

**Responsibilities**:

- Provides advanced and highly skilled support services for the IRT office including accurate maintenance of schedules for nursing and health disciplines;
- Develops and maintains databases, daily assignment logs, utilization reports for the smooth and efficient running of IRT;
- Develops and integrates a system for the collection, maintenance and dissemination of data related to the IRT;
- Ensures effective and efficient workflow for admin and clerical teams in the IRT;
- Monitors and provides feedback on day-to-day operations and responds to requests, including, following-up and investigating service gaps or concerns;
- Review and update work assignments/work lists/responsibilities as required;
- Participates in meetings with respective unit(s)/area stakeholders, departmental meetings, working groups/committees, and/or meetings which may impact operations and/or support department or corporate initiative. This may include taking minutes;
- Conducts quality assurance audits and directs and coordinates corrective actions;
- Provides direction/leadership for the team as a coach and mentor; defines accountabilities while directing and supporting the achievement of IRT performance goals;
- Provides project management for quality improvement projects to bring them to completion;
- Liaises with relevant stakeholder groups to maintain and optimize service (e.g. fill rates, unassigned staff rates);
- Using excellent decision making and problem solving skills, prioritize and identify relevant supports for the resolution of issues and day-to-day operations.
- Monitors and reports all statistical activity to the PCM and Senior Clinical Program Director on a monthly or more frequent basis;
- Management of operational schedules and vacation trackers;
- Assists in the creation of master schedules and ;
- Provides input to the PCM on staff performance reviews, on an annual basis and/or as required to ensure excellence in the provision of work activities.
- Ensuring appropriate systems/interim coverage are in place for the management of vacancies and short-term/long-term absences to provide continued full functioning of the department.
- In conjunction with the manager, participates in the performance management of staff, which may include gathering relevant information around incidents/complaints/concerns, providing feedback directly to staff, taking part in investigations, providing input on corrective action(s), issuing non-disciplinary and disciplinary letters, and supporting the creation/implementation/follow up of any learning plans or performance improvement plans as required);
- Schedules and executes training for new and existing staff.

**Qualifications**:

- Completion of Community College Diploma in Business Administration or equivalent;
- Strong current knowledge of the IRT, staffing and flow;
- 2-5 years of recent leadership experience or strong leadership skills;
- 2-5 years practical and related experience working in faced paced environment required;
- Demonstrated recent scheduling skills, within the last 6 months;
- Ability to effectively set work priorities and work without supervision;
- Excellent problem identification and problem solving skills required;
- Strong knowledge of departmental practices, procedures and standards required;
- Ability to work discretely with confidential information;
- Knowledge of pertinent legislation (PHIPA, Public Hospital’s Act);
- Ability to use good judgment in assessing difficult situations required;
- Ability to produce high quality work in accordance with Unity Health standards required.
