Casual Medical Billing Coordinator, Student

**Description**
This position reports to the Manager, System Implementation. Student Wellness Services (SWS) is a multi-disciplinary wellness clinic that offers counselling services to students, massage and chiropractic treatments for both staff and students along with both booked medical chiropractic, massage and psychiatric appointments for students plus a walk in service that both staff and students can access. The person in this position works as a member of Student and Experience Services in a clinical setting to assist in the provision of quality health care to students, staff and faculty at the University of Calgary.
The main area of responsibility lies with the staff and contractors of the medical clinic but also provides administrative support as needed to other areas of Student Wellness Services. There is a high volume of work, multiple and conflicting priorities, demands and time pressures and periods of regular sustained concentration are required. The ability to work collaboratively within a multi-disciplinary team is critical as well as the ability to interact with others in a courteous, respectful and collegial manner.
As this is a casual position, the number of working hours and days will be based on operational demand. Student Wellness Services tends to be much busier in the Fall and Winter compared to the Summer. Therefore, the demand during Fall and Winter may be high and could reach 3 to 5 days of work per week, depending on operational needs. This position is located at the U of C Main Campus, but travel to other campuses may also be required.
The University is under the jurisdiction of the provincial FOIP Act in all aspects of its operations as a publicly funded institution. It is expected that employees are committed to protecting the privacy of individuals who work and study at the University or who otherwise interact with the University in accordance with the standards set out in the Freedom of Information and Protection of Privacy Act and the Health Information Act in regards to medical patient files.
**Summary of Key Responsibilities** (job functions include but are not limited to):
Administration functions
- Collaborates with the appropriate manager, the functions and processes of the reception staff within SWS.
- Generate comprehensive and clear billing and operational reports upon requests; some reports require customization to answer certain questions.
- Works effectively with clinic physicians, nurses and health practitioners to identify opportunities to improve clinical effectiveness.
- Acts as the key liaison with the Manager, Nursing, the Director, other SWS managers, clinic physicians, specialists and health practitioners.
- Acts as a resource mentor for new and existing front desk staff.
- Works with the lead physician to maximize booking schedules.
- Consults with the Nurse Manager and clinic health practitioners to determine workload and coverage needs and makes recommendations regarding distribution of work and hiring needs.
- Makes recommendations for reception staff workload and responsibilities.
- Participates in the training and development of front desk support staff and provides as required.
- Identifies potential training needs and makes recommendation to the responsible SWS manager.
- Acts as a resource for front desk staff regarding a wide range of issues including but not limited to electronic medical record and scheduling systems.
- With the appropriate training, in the event of fire or safety issues, coordinates the evacuation of patients and staff as required.
- Oversees SWS records management systems and, in consultation with the appropriate manager, physicians and healthcare practitioners, establishes implements, manages and enforces system changes.
- Monitors electronic medical record system to identify and troubleshoot problems in the system.
- Prepares correspondence as necessary for students and clinic staff.
- Monitors and orders clinic office supplies.
- Works daily with the clinic electronic medical records system and is competent in all aspects of scheduling and workflow modules.
- Coordinates mail distribution with reception.
- Orients new employees and volunteers including physicians to clinic programs and operations.
- Extracts and compiles a range of data from medical records system, written sources, patients, physicians and medical practitioners as requested.
- Attends staff meetings a required.
- Assists in the planning and revision of clinic operations with a focus on continual improvement.
Billing and Accounting Duties
- Prints patient invoices, processes payments and reconciles payments.
- Responsible for clinic billing submissions and reconciliation.
- Liaison for Primary Care Network, Alberta Health Services and Workers Compensation Board.
- Complete the SWS deposits.
- Communicates with students regarding payments for uninsured services.
- Monitor and track outstanding payments.
- Problem solves EMR billing issues and consults
