- Processing staff expense claims
- Paying bills on a monthly basis or as required
- Maintaining organized financial records (paper/digital)
- Assisting the accountant as needed

Office Administration

Performing clerical duties, such as filing, mail coordination, and arranging courier deliveries
- Maintaining office filing system (paper/digital), photocopying, and arranging outside services, as needed
- Processing supplies and services requests by sourcing quotes, securing approval, and booking or purchasing relevant supplies and services as requested by staff
- Maintaining a clean and organized office environment
- Plan and coordinate staff and board travel and obtain necessary approvals
- Track timesheets and support the payroll team
- Manage and liaise interns Executive Assistant
- Manage scheduling, correspondence and document production for the CEO
- Provide a bridge for smooth communication between the CEO’s office and Board members
- Prepare CEO with briefings and materials for meetings and presentations
- Track CEO commitments, goals, projects, tasks and deadlines
- Provide administrative support to ad hoc projects including, but not limited to, policy programs and board of directors
- Plan and coordinate CEO business travel and travel-related activities
- Act in support of the CEO during absences by dealing with issues within scope of authority and directing issues that require the attention of others

Other
- Performing other duties as required and reasonable in line with job description

**Salary**: From $30,000.00 per year

Schedule:

- Monday to Friday

Ability to commute/relocate:

- Ottawa, ON: reliably commute or plan to relocate before starting work (required)

Work Location: Hybrid remote in Ottawa, ON
