Patrick Sprack Limited (PSL) was formed in 2006 as a Preventative Maintenance Oriented HVAC company. Since this time, we have become a reputable and leading Northern Ontario HVAC-R contractor to the mines, industrial sites as well as commercial properties.

PSL provides a variety of heating, ventilation, air-conditioning, petroleum, propane, and refrigeration services ranging from planned maintenance (both preventative and full coverage), inspections and diagnostic services as well as repairs, retrofits and new installations for commercial and industrial mechanical systems.

**RESPONSIBILITIES**:

- Job specific tasking when required of closing Work Orders, Urban Outback and/or Pipeline
- Work with PM’s and keep the admin on track for their job/WO’s
- Assist with completing job start-ups and do the initial set up in system.
- Main point of contact to receive Purchase Orders/Contracts from clients and file appropriately.
- Communicate with SS regarding new Jobs and if there are any specific requirements they need to be aware of
- Job Costing - tracking costs and ensure appropriate coding, review with PM’s on weekly/monthly basis depending on job/wo
- Maintain files for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules, invoices.
- Change Orders - make sure PM quotes C/O’s, ensure quotes for C/O’s are sent to client and client submits approval for change order. Enter change order into system and inform invoicing of change order.
- Track contract deliverable deadlines and communicate with PM’s when deadlines are approaching.
- Ensure substantial completion notice is communicated to SS and filed.
- Ensure closing documents, deficiencies are completed/signed off and submitted prior to final invoicing/holdback release.
- Communicate with invoicing to release holdback invoicing.
- Track Lien dates to ensure no missed deadline’s on accounts.
- Provide contract summaries and ensure contract execution in accordance with company policy.
- Set up and oversee subcontractor paperwork.
- Progress Statements - when progress statements are sent up from invoicing review with PMs and send to client for approval. Once approved by client send statement to invoicing for processing.
- Ensure invoicing receives required information the clients require with the invoice.
- Ensure PM communicates with field of potential change orders so they purchase and put their time down accurately and get proper paperwork required.
- When contract/jobs are completed communicate with Shared Services.
- The duties and responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing and other duties will be assigned based on the positions role within the business unit.

**REQUIREMENTS**:

- Industrial, Mining, Commercial familiarity
- Excellent Sales and Inter-personnel skills.
- High level of drive, assertiveness, empathy and resilience
- Organized and motivated self-starter. Works well with mínimal direction
- Can provide technical and administrative support
- Able to read and interpret plans, specifications and contract documents
- Willing to work overtime, evening, weekends and travel
- Excellent computer skills
- Experience managing contracts and is familiar with legal requirements and terms of use.
- Business goals and practices pertinent to procurement
- Valid Drivers License and reliable vehicle
- **Must be willing to relocate to Sudbury, Ontario**
