**Job Summary**

Your role as Church Office Manager and Receptionist is to develop and maintain organized, efficient, and engaging office and administrative systems that enable the various ministries of Peace Portal to collaborate and operate together with ease. You will be responsible to provide a warm and engaging welcoming presence for people arriving for meetings, prayer appointments, funerals, and any other ministry related meetings. Your capable handling of the day-to-day administrative processes of the office and overseeing of office equipment and shared spaces (copy room, kitchen, break area) with excellence and efficiency will help each member of the team thrive in their respective roles. Additional administrative responsibilities include overseeing the routine maintenance on Peace Portal's church database, overseeing Peace Portal's criminal record check program for volunteers, assisting with organizing major church events and providing administrative support for the Lead Pastor and Ministry Operations Pastor.

**Responsibilities**
- Oversee general office administrative practices for ministries including criminal record check tracking and other tasks as needed
- Oversee the up-to-date maintenance of Peace Portal's church database system in collaboration with other staff members
- Provide administrative support to the Lead Pastor and Ministry Operations Pastor with various tasks and responsibilities which may include organizing meals for the Board of Elder meetings, assisting with onboarding new employees as well as other confidential administrative tasks
- Work with the Ministry Operations Pastor to ensure necessary pastoral administrative needs are covered by the appropriate administrative staff
- Assist with organization of staff functions and church events
- Oversee general office budget, reconcile monthly statements, and manage office equipment lease agreements
- Greet, welcome and direct visitors to ensure their needs are dealt with promptly and efficiently
- Maintain a clean, organized, and presentable office, reception, and copy room
- Ensure office and printer supplies are routinely purchased and well stocked
- Provide troubleshooting support for office equipment for staff
- Maintain office shipping and receiving procedures
- Maintain staff kitchen and break area and ensure organization and regular cleaning of fridge and shared counter space. Ensure coffee products are routinely ordered and supplies are well-stocked

**Skills & Experience**
- Demonstrates excellent communication skills, both verbal and written
- 3-5 years' experience in office management preferred
- Proven experience working with Microsoft Office Suite
- Demonstrates attention to detail and superior organizational skills
- Experience overseeing general office operations, lease agreements, and budgets
- Experience with database management an asset
- Effective at delegating tasks to appropriate team members or volunteers
