_domilya GROUP Design & Supply Centre has an immediate opening for a Showroom Administrative Assistant_

The _Showroom Administrative Assistant_ is an integral part of the showroom team and will help contribute to the successful completion of design projects as well as the smooth running of the showroom and construction divisions.
- You will assist with the sales process in an administrative capacity
- You will communicate with clients, coordinate deliveries and resolve client issues
- You will work closely and assist the Showroom Manager and Directors

Key Responsibilities
- Assist Directors, Designer and Showroom Manager directly
- Responsible for outstanding customer service
- Ensure showroom is kept to Company visual standards
- Responsible for order fulfillment - locate, order, charge, ship/receive
- Process returns and maintain inventory
- Organize office and help create new systems to maintain organization
- Create systems with Excel, improving operational organization and time management
- Scheduling and store calendar management
- Responsible for making sure all files are clear and organized
- Maintain a comprehensive and current knowledge of the industry and trends to provide insight and serve as a resource
- Assist with preparation of proposals and purchase orders
- Provide timely responses to customer inquiries regarding services, products, pricing, availability, product use, and payment terms
- Follows-up with client for post-project photography and reviews as well as client appreciation gifts
- Assist with coordinating and hosting events promoting domilya GROUP and domilya Design and Supply Centre products
- Assist with managing wide variety of customer service and administrative tasks to resolve customer issues quickly, positively, and efficiently
- Proven ability to effectively resolve difficult and/or unusual issues both internally and externally
- Handle all aspects of customer complaints with exchanges, customer compensation, home damage and overall customer satisfaction
- Work closely with the team to develop social media campaigns that help to achieve growth

Other duties include:

- Answering phones
- Invoicing sales orders
- Filing invoices in customer files
- Data entry
- Verifying vendor invoices
- Opening, sorting, and distributing mail
- Processing cash reports
- Facilitating answers to product and technical questions
- Must be able to work the assigned schedule and comply with the Company's timekeeping policy
- Other duties as assigned

**Qualifications**:

- 3-7 years of design, construction and/or related experience required
- 4-7 years of administrative and/or related experience required
- Showroom and sales experience required
- Strong project management skills with experience in renovations and construction
- Able to work within tight deadlines
- Previous experience in showroom within the luxury goods, retail, interior design, flooring, plumbing, kitchen and bathroom sales areas is preferred
- Appreciation for décor with a high degree of taste and awareness of industry trends
- Advanced computer skills including common retail technologies, customer databases and Microsoft Office Suite is required, with the ability to learn new technologies as required
- Numeracy skills, comfortable with math common to a retail environment
- Able to work within tight deadlines
- Attention to detail coupled with a commitment to follow through - always willing to “go the extra mile”. Resourceful and creative.
- Strong problem-solving skills
- Excellent time management skills with and a strong ability to prioritize on the fly
- Goal oriented, able to set and achieve targets with a high degree of comfort assessing and establishing process
- Interested in self-development and is committed to continuous self-improvement
- Strong organizational and time management skills
- Proficient computer skills required
- Social media experience required
- Valid driver’s license and a vehicle
- Speak fluent English
- Able to work 44+ hours a week (including weekends and/or late evenings due to events or client meetings)
