Parkdale United Church Foundation (PUCF) Non-Profit Affordable Housing Provider is looking for Administrative Assistant for its management office located at 171 Dunn Ave. in Toronto. Our Mandate is to provide affordable housing to people in need.

Under the supervision of Manager the Administrative Assistant is responsible for general administrative housing duties.

This position requires a professional individual with a minimum of 3 to 5 years of experience in an administrative position. Preference will be given to experience in non-profit housing, social services or human services organizations. An understanding of the issues of people in need and vulnerable populations is an asset.

**Salary**:Commensurate with experience

The office hours are Monday to Friday 9:30 am to 4:30 pm. From time to time flexible working hours schedule might be required.

**Corporate Management and Tenants liaison**
- Enforcement of the terms of the Residential Tenancies Act, the Articles of Incorporation and all other legal requirements or agreements of the corporation.
- Maintain a current register of tenants and tenant files.
- Record the minutes during the Board/Congregational meetings if requested.
- Ensure that notices, agendas, minutes, correspondence and any other relevant information are properly prepared and distributed to the Board of Directors in advance of Board meetings.
- Provide written notice to each tenant for any rent increase, as required by legislation and co-ordinate annual payments to tenants for interest on deposits.
- List, offer for rent residential units including signing of the Tenancy Agreement.
- In conjunction with the Property Manager, supervise the moving in and out of tenants.
- In conjunction with the Property Manager, require tenants to reimburse all costs of any repair or replacements necessitated by damage of the property caused by the conduct of tenants or guests of tenants.

**Other Duties**
- Perform general reception including greeting visitors and answering phone calls.
- Receive and direct all general mail, as appropriate.
- Organize computer data on your computer according to corporation’s practice; maintain, back-up and restore corporation's computer data on a regular schedule.
- Liaise with Manager and maintenance staff regarding the planning of work and delivery of work by deadlines.
- Responsibility for all aspects of tenant services including managing tenant complaints.
- Provide tenants with statements of rental account as requested.
- Prepare bank deposits and arrange for delivery, post rents and other payments received into the rent book.
- Maintain records related to housing and church administration including corporate files, financial records, maintenance files, tenant files, supplier files.
- File the invoices after being posted.
- Distribute work orders to tenants and file completed work orders.
- Ensure preparation of the Church Bulletin and assist Church Minister if needed.
- In conjunction with the Property Manager, coordinate all aspects of the booking of facilities owned and operated by PUC and PUCF.
- Participate in emergency procedures training and practices in conjunction with other staff, including participating in fire drills.
- Provide an occurrence report as required after every accident or damage to employees, residents and visitors including providing a report to the Property Manager and Board of Directors.
- In the absence of the Property Manager be his/hers primary delegate for purposes of property management.
- Other PUC and PUCF duties as assigned
