The Department of Family Medicine (DFM) is a progressive and growing academic clinical department educating the next generation of family physicians while delivering exemplary patient care and leading an exciting, diverse, and expanding program of research and innovation. Primary health care is recognized as essential within an evolving health system that seeks to improve patient experience and health outcomes while achieving system efficiencies and cost savings, and DFM is at the forefront of this evolution.

Reporting to the Co-Executives Directors of the FHT, under the DFM's direct health services umbrella of the McMaster Family Health Team (FHT) are two large Family Practice Units (FPU) operated as a joint venture between McMaster University, Hamilton Health Sciences (HHS) and the McMaster Family Health Organization (FHO) that provides primary health care to approximately 40,000 patients. These two FPUs are the McMaster Family Practice Unit (MFP) and Stonechurch Family Health Centre (SFHC). In addition, the Maternity Centre of Hamilton (MCH) is co-located with MFP and provides a shared care, community-based prenatal and obstetrics service serving a high risk and complex population, with over 600 babies delivered annually.

As the Clinical Site Operations Coordinator (FHT) you can anticipate needs, you work well under pressure, and are able to deal with multiple concurrent deadlines in a complex work environment, while exercising considerable judgment and tact.

You will also be an active member of several committees and provide administrative support for the FHT/FHO for minute taking and action item follow-up.

**Job Summary**:
The Clinical Operations Site Coordinator (FHT) is responsible for implementing and maintaining the efficient operation of clinical practices at multiple sites of a large sized department under the direction of the Co-Executive Directors of the FHT. The Clinical Operations (Site) Coordinator, FHT oversees the day-to-day administrative and clinical operations of multiple sites within the department. The Clinical Operations (Site) Coordinator, FHT is required to provide support to the Clinical Site Operations Coordinators (McMaster Family Practice and Stonechurch Family Health Centre) during peak times and for vacation and sick leave coverage. The Clinical Operations (Site) Coordinator, FHT This will provide effective lead hand supervision for the administrative support structure at muliple sites including recruitment activities, orientation and development of staff. As a member of the healthcare team, this position provides clinic, technical, and administrative support to a large number of healthcare providers at multiple sites.

**Purpose and Key Functions**:

- Support the development of strategic and emerging clinic(s) business plans on an annual basis.
- Lead, analyze and make recommendations regarding a broad range of clinical operations issues, including recommendations on staffing requirements.
- Provide lead hand supervision for the administrative support structure at multiple sites.
- Provide front line service to faculty and staff and in consultation with the Clinic Director sets standards for the quality of the Department’s services.
- Follow up on and ensure appropriate implementation of decisions made by Clinic Director.
- Support clinic(s) function and purpose. Coordinates, organizes, maintains and provides information. Implements efficient record keeping systems including attendance and health and safety training and ensures payroll is submitted for clinic staff.
- Manage multiple access templates for the inventory management system (OSCAR) within the ensuring employees have access in accordance with their job function in the clinic(s).
- Implement technical solutions that fulfill the clinic technology requirements.
- Plan, organize, oversee, and evaluate clinical operations of information systems and electronic data processing for multiple sites.
- Troubleshoot and provide technical support to moderately complex computer problems to users in the clinic(s) regarding hardware and software issues.
- Oversee clinic site(s) social media communications.
- Collaborate with marketing and department staff to determine clinic (sites) communication needs.
- Ensures provision of services by training, providing guidance and advice and carrying out lead hand supervisory responsibilities with respect to the supports staff at the designated clinic sites.
