**POSITION TITLE: Coordinator, Project Administration**

**REPORTING TO**: Chief Operating Officer

**INTERACTIONS**: This role will interact internally with all staff at all levels, Board of Directors, WPFG Federation members, Volunteers, and external contacts such as suppliers, partners, and others as required.

**PLANNED CONTRACT TERM**:April 3, 2023 - August 31, 2023 (full time, in person)

**LOCATION**: In person at the WPFG 2023 Head Office located at 457 Main St. in
Winnipeg, MB.

**SALARY & BENEFITS**:Based on an annual salary of $40,000Cdn, monthly cell phone and benefits allowances, parking provided, vacation entitlement, paid sick time

**OVERVIEW**

The 2023 World Police & Fire Games Host Organizing Committee is looking to fill the term position of a Coordinator, Project Administration.

In less than one year, thousands of the world’s best and brightest Police, Firefighters and Law Enforcement professionals will set their sights on Winnipeg as we host the 2023 World Police & Fire Games. More than 8,500 athletes from across the globe, 150 media, hundreds of VIPs, 500 officials and thousands of visitors will join us for the 10-day event. Featuring 61 sports and numerous cultural events and festivals, the 2023 World Police and Fire Games will be the largest event in Manitoba’s history.

**GENERAL DESCRIPTION**: This position will be responsible for supporting special projects specific projects, as well as organizing meetings and events that will occur at Games time. They will work with vendors to source items for our staff, VIPs and sponsor programs and assist the COO in day to day activities. We are looking for a quick learner who is excited about these games

**GENERAL RESPONSIBILITIES**:

- To represent the 2023 World Police & Fire Games in a positive, respectful and enthusiastic manner.
- To work within the Finance & Administration team to meet the goals within the expected timelines.
- To offer ideas that will improve the efficient and effective delivery of the games and will focus on optimizing the athlete experience.
- Recommend resources needed to accomplish tasks and reach the targets/goals.
- Uphold a high moral character and prudent fiscal management, understanding the majority of funding to host this event is provided by the Public Sector including the Provincial, Federal, and municipal governments.

**MAIN FUNCTIONAL RESPONSIBILITIES**
- To coordinate the programs for WPFG 2023 VIP gifting and collectable merchandise to be used as gifts and for resale as Games time merchandise.
- To organize the meeting space requirements for planning and games time meetings and presentations.
- To source and work with suppliers for development and procurement of a staff kit for Games time use and other goods required for Games time.
- To support the COO in putting in place VIP protocol requirements.
- To track costs related to a number of projects.
- To provide office administration support to ensure the office runs smoothly.
- To support the process of post games disposal of assets.
- To contribute information for final reports for the related functions following the Games.
- To undertake other duties as assigned by the COO, relevant to the furtherance of the goals and objectives of the Games and the position.

**QUALIFICATIONS**:

- Experience in administration, project management and working with suppliers is required.
- Experience working in an office environment, in a not-for-profit entity and in event planning are considered assets.
- Post Secondary education in business administration, event planning, project management, or sport management is an asset.
- Outstanding organization skills and attention to detail and accuracy are essential.
- Friendly, approachable manner and willingness to contribute and ask questions.
- Ability to learn quickly and begin contributing to the organization immediately is essential.
- Excellent verbal, written, electronic and related communication skills and capacities.
- Ability to thrive in a complex environment, involving a multitude of simultaneous and concurrent tasks, operations and requests.
- Ability to work in a team and perform specific tasks independently.
- Understanding of and capability to work within a mixed volunteer and staff planning and delivery model.
- Willingness to work variable hours, including evenings and weekends.
- Previous Games or related experience would be an asset.
- Valid driver’s license is required.

**CONDITIONS OF EMPLOYMENT**:

- Formal office hours are 8 a.m. until 4:30 p.m.; however, flexibility will be required (and given appropriately). This may include various evening/weekend committee work, varying workload/deadlines, Games time requirements, etc.
