Regional Fleet management, providing single point liaison between the region and corporate fleet management by collaborating with regional leadership and recommending and actioning all fleet related issues
- Submitting Oracle Cloud Asset and Non-asset related Purchase Requisitions for the region
- Accessing, submitting, coding and tracking all regional utility invoices to timely payment
- Coordinating the protection, processing, and access to, all regional records and documents in the absence of the Regional Records Analyst.
- Defines and maintains the requirements for a suitable storage environment and information retrieval system in compliance with the Enbridge Records Management Policy and Records Retention Schedule, and the compliant work instructions of the business authority and maintains such systems in the absence of the Regional Records Analyst.
- Creates, maintains and controls permissions to all regional SharePoint sites in the absence of the Regional Records Analyst.

**SPECIFIC ACCOUNTABILITIES**:

- Provide Fleet Management financial actions, Lease and Communication systems and road toll payments,
- Coordinate vehicle orders/disposals, provides data updates for reports and make fleet recommendations to leadership
- Control Contracts Management System, (ECMS); enter contracts and addendums and provide guidance and support to the region for consistent Enterprise controls
- Attend SCM Analyst/Admin Touchpoint sessions to stay current and focused on industry standards and direction
- Accounts Payable - Obtains, codes, and tracks regional utilities and is the point of contact for regional utility suppliers
- Submit Oracle Cloud Cheque Requisitions for Regional and embedded staff and maintains the SharePoint audit database to meet KPI measurements as determined with the people leader
- Provide backup for Oracle Cloud Non-asset related Purchase Requisitions and maintains the SharePoint audit database to meet KPI measurements as determined with the people leader
- Accountable for coordinating transmission of and payment for regional operation fleet, utilities, and communication expenses for all entities accounted for in the Eastern Region and ensuring monthly payments are made timely and accurately.
- Provide regional presence at Regional Operations Analyst Community of Practice meetings to keep informed of regulatory requirements and ensure regional records comply with industry regulations
- Coordinate the tracking and monitoring of regional electronic, on-site, and off-site (Iron Mountain) records, to ensure receipt, completeness, and compliance with Enbridge standards
- Work collaboratively with other departments and build relationships to ensure that there is coordinated and cost-effective process in the management of records
- Ensure the preservation and accessibility of relevant and critical regional records
- Upload regional documentation to the Field Work Management Records site
- Maintaining and auditing the Eastern Region Records Inventory SharePoint list
- Eastern Region Records responsibilities may include but are not limited to:

- Storing Records
- Circulating records and providing user access rights to records (physical and/or electronic)
- Coordinating scheduled records destruction
- Developing and implementing procedures to manage stored records
- Deliver training to all employees with respect to records security, access, and retention as necessary
- Regional Governance Document Library (GDL) Steward; assist with the generation of Regional Information Management System (IMS) documents, create Visio workflows for documents and provide process and procedures training as necessary
- Provide QA/QC as requested - manage, track, and file all Contractor Certifications, Inspection reports, Hydrotest records, as builts and designs and ensure successful handover of project records/documents to the Technical Records & Drawings department
- Develop and maintain all Eastern Region SharePoint sites
- Expected to work closely with the Regional Accountant and provide backup as necessary.

**SCOPE**:

- Provide coding for all regional utility invoices and track for timely payment
- Submit Purchase Requisitions and train others colleagues on how to use the PO Intake Form
- Upload existing and new data files to SPO to refresh Power BI reports
- Determine, communicate, and ensure Regional Project Records tracking and filing requirements are met.
- Provide Analysis of Records and documents within the Common drive, SharePoint Sites, Enbridge Content Services (ECS), Enterprise Contract Management System (ECM) and Enbridge LPIMS.
- Ensure appropriate metadata is developed and maintained for electronic records and documents
- Responsible for identifying records requiring off site storage and ensuring all records are sent off site as per company procedures and policies.
- Expected to work with significant independence on standard assignments.
