**Description**:
Reporting to the Chief Operating Officer (COO) the Executive Associate (EA) provides comprehensive administrative and office support for the COO’s office.
This role works on short and long-term assignments for a variety of program initiatives and issues. The EA has administrative, information management, issues management and project management responsibilities.

This position coordinates CapitalCare initiatives/assignments by responding to action requests, reviewing and assessing correspondence directed to the COO, briefing the COO on administrative issues that may affect CapitalCare, and supporting corporate initiatives by reviewing administrative requirements, and compiling and summarizing background information.

The EA also performs a variety of administrative functions for the COO including scheduling, preparing correspondence and documents, preparing meeting packages and developing agendas for leadership meetings and executive committees including minute taking, as well as coordinating and monitoring various financial matters.

**Salary is according to CapitalCare's Professional Pay Grid.**

**Qualifications**
**1. Education & Experience**
- Minimum 5 years administrative/secretarial experience, preferably in a healthcare setting.
- Advanced working knowledge of Microsoft Office Suite (Outlook, Word, Excel, Visio, PowerPoint).
- Ability to indirectly or functionally supervise, coach, and mentor other Administrative Support staff.
- Strong knowledge of political sensitivities and the diverse interests of various internal/external stakeholders.
- Ability to anticipate needs and action appropriately.
- Excellent oral and written communication skills with a strong ability to draft correspondence.
- Excellent organizational skills and ability to independently prioritize own workload.
- Acts in a professional manner in dealing with the public, management, staff and other departments.
- Maintains confidentiality and discretion.
- Strong ability to establish and maintain collaborative and professional relationships with a variety of stakeholders.
- Knowledge of broad office policies and procedures as well as applicable legislation (e.g. Freedom of Information and Privacy (FOIP)).

**2. Preferred**:

- Training or experience in project management and financial management.
- Working knowledge of Oracle (PeopleSoft, MarkView).
- Proficiency in developing databases and/or advanced Excel spreadsheets and reports.
- Knowledge of applicable policies, procedures and systems (e.g. staffing policies and systems, payroll procedures, financial policies and systems).
