West 4th Physiotherapy Clinic in the heart of Kitsilano, Vancouver, BC is seeking a qualified administrative/receptionist person for to following days:
**Tue: 2 pm - close **(usually by 8:30 or 9:00 pm)

**Wed: 2 pm - close**

**Thur: 2 pm - close**

**Saturday: 7:30 am - 3:30 pm**

**Must be available for On Call and Holidays relief**

The reception desk is considered the heartbeat of the clinic. You will be responsible for keeping everyone -therapists and patients coordinated and running efficiently.

This position requires a confident, self-motivated, solution-focused individual who has a calm disposition and embraces working in a fast-paced, multi-tasking environment. You must also have a very flexible schedule and can commit for a minimum of 12 months. As you will be working in Health Care - you must have your COVID vaccine. The hours and days posted above is what is required; however, this is an evolving position and responsibilities may shift over time.

Responsibilities & Duties:

- greeting clients warmly on the phone and in person
- managing phones, returning messages, and completing follow-up phone calls
- receive and relay messages in clear detail
- booking client appointments
- processing payments and claims
- preparing billings in the computerized software for processing
- organizing therapists schedule and cancellation list
- assisting therapists in keeping their workflow efficient and organized
- typing letters
- cleaning/sanitizing and flipping treatment rooms and gym space
- maintain a clean, orderly, and safe environment for clients and staff
- maintaining laundry
- EMR, photocopying, and faxing
- communicate effectively with staff and clients

Relatable experience:

- Experience in a fast paced and professional office
- Customer service experience, preferably in a medical office
- Proficiency with MS Office, Excel, and Health care software's

- Able to listen and build rapport with clients
- Ability to react appropriately to client needs
- Ability to thrive in a fast-paced environment
- Proficient Computer Skills
- Ability to multi-task effectively
- Take initiative while working independently
- Be well organized and able to work under pressure with attention to detail
- Fluent in English

Qualifications:
1-2 years experience leading a team in a busy, medical office environment
- Experience with Clinic Master Management Software and/or other clinic management software
- Experience with Physiotherapy office work, medical billing (ICBC, WSBC, third party insurer)
- Basic bookkeeping
- Accounts Receivable
- Medical terminology an asset

This position includes the opportunity to grow and progress based on your talent, skill, and performance.

**Job Types**: Part-time, Permanent
Part-time hours: 26-30 per week

**Salary**: $18.00 per hour

Flexible Language Requirement:

- French not required

Schedule:

- Evening shift
- Every Weekend
- On call
