We’re looking for a **Talent Coordinator/Payroll Clerk** to start in our Vancouver office ASAP.
**What is the role?**
As a Talent coordinator you will find yourself joining the Talent department team to assist in the many Circle shoots. The Talent Coordinator is a full-time position which involves coordinating and booking talent, negotiating talent contracts, payroll support to the Talent producer, Executive producers, their clients and freelance production teams. In addition, you will manage department admin duties, data entry, research and communications. As Talent Coordinator, you will also be an important liaison between the talent/talent agents, Casting directors, Circle and our clientele.
These tasks will give you the opportunity to be involved with many aspects of our business—from pitch through to wrap.

**Duties Include**:
**Talent Producer / Bidding support**:
- Assisting Talent Producer with budgets/estimates
- Managing holds, bookings, availability checks for talent, crew, casting directors and studios.
- Research for upcoming shoots.
- Coordinating talent to set, distributing shoot details and scripts and overall management of talent.
**Payroll Duties**:
- Database entry
- Invoicing, updating spreadsheets, and other records
- Actualizing budgets and processing payroll
- Bookkeeping and/or Film/TV experience would be an asset but not required.
**Production support**:
- Assisting freelance production teams with talent payroll paperwork and negotiations
- Providing Talent budget information and resources upon project start-up
- Ensuring clear and efficient communication between freelance crew and department staff
**Admin duties**:
- Maintaining an organized and presentable office environment for team
- Keeping all databases up to date and supporting the operating systems.
- Coordinating shipping/couriers
- Maintaining job lists, calendars and other shared resources
- Tracking and archiving of project and payroll content upon completion
**What we are looking for**:
- Applicants with an outstanding ability to multi-task and adapt to shifting priorities all the while working as a team.
- Comfortable in a fast-paced work environment (excellent time management and organizational skills) and able to self-motivate under mínimal supervision.
- Proficiency with Mac environments, Microsoft Office, Excel, Dropbox, and Filemaker
- Tech savvy (comfortable adapting to new software and assisting with tech troubleshooting)
- Proactive: especially when work slows down and there isn’t anything pressing to do, it’s very important that this time is used to get organized and make sure you’re in a good position to handle the next busy spell
- Excellent communication skills (verbal and written)
- Positive attitude, excellent interpersonal skills and an ability to maintain a work
- life balance.
