Office Operations and Customer Care Manager

Nordic Nurseries Ltd, a family owned and run wholesale greenhouse, is looking for a permanent, full-time Office Operations Manager. We are the Western Canada propagator for Proven Winners, the #1 selling plant brand in North America. As well as supplying rooted cuttings to growers across Canada we also supply bedding plants and hanging baskets to Western Canadian Garden centres. This role is key and vital to our company with two aspects of the job.
You will be part of the Proven Winners (PW) North America team with PW support staff available as needed.
What you’ll do:
Production overview
- Report to and work closely with the owner
- Responsible for scheduling and all facets of paperwork that put the plants into production right through to shipping.
- Includes managing processes, order entry, production scheduling, Supplier orders, shipping as well as planning to analyze production needs and create efficient production schedules.
- Working with different greenhouse departments to ensure that orders are accurate, go to the right people/place and are on time.
- Manage deliveries both on our trucks and other carriers including managing the shipping/load list and our truck driver (good knowledge of the Fraser Valley and Lower Mainland needed)
- Manage the C.F.I.A - Canada Food Inspection Agency
- greenhouse certification program already in place.
- Tracking incoming shipments of young plants that come from all over the world to ensure they arrive on time.
- Communicate regularly with other staff to provide information/updates/problems with production.
- Managing the office systems
Customer Service overview:
- Supervision and management of the customer service team and their training
- Communicate regularly with employees to provide updates/problems on office procedures and production
- Manage, develop, coach, and motivate other office personnel to develop their skills to ensure a high professional standard and suggest corrective actions as needed
- Develop strong customer relationships with our Garden Centre's, wholesale growers, and broker sales reps.
- Closely monitor and handle customer service inquiries and play a critical roll in resolving customer issues and complaints.
Qualifications:
- Must possess at least a High School Diploma/GED equivalent
- Previous experience in managing (at least 3 years)
- An ability to act as a central pivot point for all production needs
- An ability to anticipate issues/risks and trigger corrective actions
- Proficient in computer skills, excel and all office products. We work on a Microsoft Access based system so strong excel knowledge is an asset.
- Critical thinking and great common sense
- Must be detailed oriented and exacting
- Office experience of at least 3 years
- Customer first attitude
- Excellent time management and self motivated
