Reporting to the Manager of Housing Programs, the Applicant Services Coordinator will manage all components of the centralized waiting list in accordance with the Housing Services Act, 2011 and local policies and procedures (i.e. waiting list eligibility for priority groups, internal transfers, over housed, administration, offers and tenant placement,) manage the local and provincial arrears database system, and work with the Housing Programs and Operations Divisions to provide outstanding service delivery to the community in Brantford and Brant County.

**Duties and Responsibilities**

Centralized Waiting List
- Ability to fully manage all components of the centralized waiting list (waiting list eligibility, priority groups, over housed administration and placement)
- Assist housing providers with any difficulties accessing waiting list information
- Liaise with community agencies regarding referral and support services for applicants.
- Be the primary contact with transition shelters ensuring that priority applicants are aware of resources available to them to maintain their tenancies
- Collect and analyze waiting list data
- Provide monthly, quarterly and yearly statistical data from waiting list as required
- Maintain a directory of information documents, policies, guidelines, and procedures related to the provision of housing information as required by the Housing Services Act, 2011

Tenant Placement
- Maintain the internal transfer list for municipally owned housing according to local policies and the HSA
- Verify tenant eligibility for placement Offer and organize all vacancies to appropriate applicant (internal or centralized waiting list) in a timely manner and in accordance with local policies
- Arrange for applicants to view vacant units
- Complete final income verifications, determine RGI rent amounts, prepare new lease and arrange for signing with Property Managers
- Determine subsidy amount for rent supplement units, arranges for tenants to sign agreements and forward agreements for ongoing administration
- Offer market rent units to relevant applicants; prepare lease and lease signing appointments
- Monitor and coordinate overhoused tenants, verify eligibility, monitor placement and advise property managers
- Conduct general administrative tasks
- Prepare reports, letters and presentations as required; meet with agencies to discuss waiting list procedures, priority groups etc
- Provide monthly, quarterly and yearly statistical data

Arrears Database
- Receive and input all former arrears into the provincial database
- Ensure changes to the local arrears database are kept current

**QUALIFICATIONS**
- Community College Diploma in a related discipline (SSW) or equivalent combination of education and relevant training and experience.
- Minimum 3 years experience in a social housing environment
- Exceptional customer service skills, focus and a results oriented attitude
- Extensive knowledge of the Housing Services Act, 2011 is required
- Detailed knowledge of social housing and social service agencies
- Working knowledge of the Residential Tenancies Act, 2006
- Working knowledge of the Municipal Freedom of Information and Protection of Privacy Act
- Ability to uphold and protect confidential information
- Ability to manage several components of the centralized waiting list in accordance with the Housing Services Act, 2011, Service Manager Local Rules, and local policies and procedures
- Excellent communication and interpersonal skills
- Ability to support and sensitivity towards people experiencing stressful and sensitive situations (i.e evictions, homelessness)
- Excellent organizational skills and attention to detail
- Computer proficiency and preferred experience using: Microsoft word, Excel, power point, Lotus notes and YARDI property management systems
- Ability to prepare accurate reports, input data and appropriate correspondence in a timely manner
- Ability to work well with and have accountability to applicants, community partners, managers, and colleagues
- Ability to multi task, manage interruptions and any crises that may arise
- Excellent customer service skills and ability to respond to emotional situations from applicants
