**Responsibilities**:
- Assist with the coordination of projects and maintenance programs through scheduling, mapping, monitoring, review and reporting on individual program statuses.
- Prepare work packages and maintenance program packages/documentation.
- Assist Supervisors and Manager with administrative functions pertaining to project work, new program development and maintenance program optimizations.
- Assists with wastewater licensing records-keeping, tracking, filing and sending to Ministry of Environment, Conservation and Parks
- Update staff training records and schedule upcoming license renewals to ensure staff remain up-to-date and meet requirements of licensing, permits, training, etc.
- Coordinate with Supervisor for follow-up work to be completed and reporting on individual program statuses.
- Assist the Supervisors with program/daily scheduling.
- Assist the Supervisors and Manager with the creation of quarterly reports (e.g., budget, training, vacation use, absenteeism, hours of service violations).
- Responds to customer inquiries and follow up on requests.
- Prepare letters and notifications to customers about up-coming work in their neighborhoods (e.g., stormwater pond clean-outs), coordinate and track follow-up.
- Support the administrative onboarding of new front-line staff.
- Prepares field orders, purchase orders and cheque requisitions.
- Processes consultant and service provider invoices before deadlines.
- Creates generic work orders and assists with the preparation/processing of task specific work orders.
- Assist with contractor requests/site visits and confirm scheduling and staffing availability.
- Creates filing systems for in-progress and scheduled work and maintain asset and regulatory record documents.
- Support staff scheduling and absenteeism tracking (e.g., vacation requests, on-call change requests and sick leave)
- Provide staff support for visa and expenses tracking and processing.
- Coordinate and monitor staffing PPE, clothing orders and manage/issue boot vouchers.
- Assists with coordinating/planning internal events for the sanitary and stormwater utilities (e.g., appreciation events, retirement gatherings, etc.).
- Participate and support administrative functions (i.e., minute taking) in Management, Supervisor, and front-line staff meetings.
- Performs other related duties as assigned.

**Requirements**:
- Minimum Grade 12 diploma with a minimum of 1-year additional post-secondary education.
- Minimum of 1-year related work experience ie/ Construction, Utilities, Engineering, Water/Wastewater).
- Strong written and verbal communication skills.
- Able to support and project values compatible with the organization.
- Proficient in the use of a Personal Computer including Microsoft Office products.
- Proven customer service skills.
- Wastewater and/or Stormwater System experience would be an asset.
- Financial management software (e.g., SAP) and Computerized Maintenance Management System (e.g., CityWorks) experience/knowledge are an asset.
- Experience with ArcGIS and On-Point software packages are an asset.
- Proven understanding of Asset and Records Management procedures.
- Highly developed coordination and prioritizing skills to administer and coordinate multiple tasks simultaneously in a fast-paced environment.
- Strong organization and time management skills with proven ability to meet deadlines.
- Strong interpersonal skills to obtain internal and external cooperation using diplomacy and tact.
- Able to work independently with mínimal supervision in a team atmosphere.
- Reliable, with a positive attitude and employment record.
