**About the job**:
We are looking for a detail oriented Administrative Assistant to help preform clerical tasks and provide administrative support to the staff at Andorix. In this role, you will keep records, coordinate communications, contracts management and keep the workplace organized and efficient. Reporting to the Office Manager, this position is responsible for assisting with the day-to-day activities of the Andorix team.

**What you'll be doing**:

- Receive any mail or packages that arrive at the office and ensure the right staff receive mail that is addressed to them.
- Process incoming and outgoing mail and courier deliveries.
- Maintain the organization's recordkeeping system, both physical and electronic.
- Review contract documents closely for accuracy.
- Prepare standard contract documents for distribution and execution.
- Maintain and organize physical and electronic contract files.
- Greet visitors and clients as they enter the office.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Create and maintain spreadsheets, reports, and any other company information in an organized and confidential manner.
- Perform clerical tasks including mailing, scanning, photocopying, and printing.
- Manage any internal/external clients requests and staff requests.
- Other functions and tasks as required to support the organization.

**About you**:

- Excellent time management skills and ability to prioritize tasks by urgency and importance.
- Ability to multitask and work in a fast-paced work environment with frequent interruptions and competing priorities.
- Strong attention to detail and proofreading skills.
- Professional written and verbal communication skills in English.
- Resourceful, flexible, and adaptable.
- High degree of common sense and initiative for problem solving.
- Exhibits good discretion, judgement, tact, and diplomacy. Maintains confidentiality.
- Works efficiently and effectively independently and in a team environment.
- Strong understanding of and belief in providing exemplary customer service to both external and internal customers
- Good knowledge of standard office practices and procedures.
- Completion of a Business Administration certificate or degree is an asset.
- A minimum of 1-2 years' experience working in an administrative position
- Strong knowledge of and proficiency in Office 365 and Adobe.
- Strong data entry and keyboarding skills.
- Working expertise of office equipment.
