**Who are we?**

The Foundation Philanthropy division is one of the driving motors of the VGH & UBC Hospital Foundation, responsible for the majority of the philanthropic revenue of the organization. The department consists of Major Gifts, Gift and Estate Planning, and Donor Engagement and Stewardship, is also responsible for the successful implementation of key strategic initiatives in the Foundation’s Strategic Plan in order to meet organizational objectives. The Major Gifts team is responsible for raising gifts of $25,000 or greater.

**What’s the opportunity?**

Reporting to the Administrative Manager, Philanthropy, this position performs a wide range of activities focused on supporting the fundraising team, including responding to enquiries, arranging meetings, preparing routine reports, correspondence and presentations and following up on action items from other members of the team. This individual is expected to provide a high level of customer service and exercise tact and diplomacy in working with donors, volunteers, and hospital medical and administrative leadership. The incumbent is also responsible for handling incoming gifts promptly and maintaining confidential donor data per standard organizational policy.

**Key Responsibilities**
- Organizing and coordinating meetings with hospital staff, volunteers, prospects and donors, and/or Major Gifts staff. This includes booking venues, arranging for catering, equipment and setup, drafting agendas, preparing meeting materials, taking RSVPs, and taking minutes.
- Drafting correspondence, reports and other materials of a routine and confidential nature for fundraiser’s review and finalization, and ensuring that all correspondences prepared for signature adheres to consistent and professional standards.
- Providing project support, including maintaining project documentation and an appropriate “bring-forward” system for actions and deliverables.
- Assisting with the payment of invoices and expenses.
- Maintaining accurate and complete electronic and proper donor reports as assigned, including updating donor and constituent contact data and other donor related information in the CRM.
- Preparing initial processing and administration of gifts received as per standard organizational procedures.
- Compiling and/or preparing moderately complex regular and ad hoc analyses & reports on donors and giving.
- Assisting with specific donor cultivation and recognition projects, including assisting with logistics and participation in donor events and tours.

**What do you bring?**
- University degree or equivalent diploma, or combination of education and experience related to sales, administration or fundraising administration.
- Demonstrable judgment and discretion in dealing with confidential and sensitive matters.
- Demonstrable excellent administrative & organizational skills.
- Computer skills - proficient in Word, Excel, PowerPoint, Outlook, and highly developed internet search skills, familiarity with contact management or fundraising software.
- Above average verbal and written skills and abilities.
- Strong data analysis skills, attention to detail and accuracy.
- Ability to work independently and collaboratively
- Proven ability to manage multiple assignments simultaneously.
- Demonstrated ability to work well under pressure in a highly diverse environment with time and resource constraints.
- Two years’ experience with a not-for-profit in an administrative position preferred.
- Salesforce knowledge is an asset.
- Fundraising or event planning and/or assistance background is an asset.
