**About the Opportunity**

As the Executive Assistant to our senior staff, you will be one of the core pillars of our team to help provide high-quality services to our clients and staff. Your duties will include providing administrative support to our Director (primarily) and other accounting staff as needed, managing schedules, coordinating meetings, liaising and supporting the firm’s clients and assisting with various projects. This position requires 2 days in the office (Ottawa, Ontario) at minimum and the rest can be remote based on business needs and upon the successful completion of the probation period, including both manager’s approval and an overall good standing with the company. The office is located in Ottawa, Ontario (West end).

**Your Duties & Responsibilities**
- Manage and maintain the calendars and schedules of the Director, including scheduling appointments, meetings, and travel arrangements
- Prepare and edit correspondence, reports, and presentations as required
- Coordinate and manage the logistics for meetings, events, and conferences, including preparing agendas, taking minutes, and following up on action items
- Conduct research and gather information on various topics as required
- Manage and prioritize tasks and projects to ensure deadlines are met
- Assist with the preparation and management of various projects, including income tax collection from clients
- Maintain confidential information and handle sensitive matters with discretion and professionalism
- Provide support to other team members and departments as required

**Your Skills & Experience**
- Diploma or degree in business administration or a related field
- 3+ years of experience in an executive assistant role, preferably in an accounting or professional services environment
- Excellent organizational and time management skills, with the ability to prioritize tasks and work under pressure
- Strong communication skills, both verbal and written, with a high level of professionalism
- Proficient in Microsoft Office suite, with experience in PowerPoint and Excel as well as Google Apps (docs, slides, sheets, etc,.)
- Strong attention to detail and accuracy, with the ability to proofread and edit documents
- Ability to handle confidential information with discretion and maintain a high level of confidentiality
- Knowledge of accounting software and procedures is an asset
- Interest in learning and trying out new software/technologies
- Ability to work independently and as part of a team
- Ability to develop and maintain strong client relationships
- Organized, deadline-driven, and work well independently and as part of a team
- Ability to troubleshoot problems and find solutions independently
- Can work effectively in office (west end Ottawa,ON) or from home (Canada only)
