Pelvico Clinic Administrator/Team Lead is seeking a Clinic Administrator to support our multidisciplinary clinic operations.
Pelvico Health Center a multidisciplinary clinic in Partnership with Onside Performance Centre. Our team is made up of like-minded healthcare and fitness professionals who are driven to change how healthcare is treated in Nova Scotia. Our expertise lies in rehabilitation of pelvic health and orthopedic conditions in athletic populations, but we aim to create a safe space for anyone to access these services. We will be leaders in promoting continued activity, at any level, in the pre and post natal population, while also managing symptoms and providing the most up to date education.
This position is ideal for someone seeking full time work in a unique clinic/gym setting. Shifts will be a mixture of mornings/days/evenings Monday-Friday.
The Clinic Administrator’s responsibility is to welcome patients that enter the clinic with excellent customer service. This person will also be responsible for answering telephone requests, scheduling patients and keeping the clinic area clean and tidy. They will be responsible for communicating with insurance companies, physicians and patients to address their needs and concerns. Further responsibilities include:
**Job Requirements**:
- Answer telephone calls, greet patients and visitors upon arrival, and provide excellent customer service for all questions or concerns
- Scheduling of patients
- Assist patients with completing paperwork at the clinic to avoid errors and inaccurate information
- Coordinate and maintain contact with referring physicians to ensure their satisfaction
with how their patients are being treated
- Coordinate a detailed and accurate intake of information on the patient's first visit to the clinic and throughout their treatment plan (e.g. insurance)
- Coordinate scheduling of patient appointments and maintain the patient’s health records
- Collect payment at time of service
- Bill insurance companies on behalf of the client
- Complete data entry and billing
- Resolve and approve billing holds, financial refunds and accounting corrections
originating at the site
- Provide administrative support to the Therapists/Health Professionals, other team leads in different location and Clinic/Fitness Director
- Complete patient tracking, follow up calls and any discharge requirements
- Assure clinic is open during regularly scheduled hours and special events as needed
- Ensure all facilities and equipment are available, operational, safe and clean
- Complete light cleaning duties such as emptying garbages daily, sanitizing common surfaces, ensuring bathrooms are clean, clinic rooms are kept tidy
- Perform laundry duties for clinic
- Communicate and ensure compliance with company policies and procedures
- Proofread letters to physicians, insurance companies etc and send to appropriate places
- Complete any filing needed
- Keep computer and files organized and easy to find

This position is ideal for someone seeking part-time work or full-time work. Shifts will be a mixture of mornings/days/evening, scheduled vacation coverage, and would typically occur between the hours of 8am and 7:30pm, Mon-Fri.
