Position Overview
Vantage is looking for an accounting operations specialist to join its accounting operations team and assist the accounts payable and accounts receivable specialists with their respective responsibilities as it relates to the financial relationships with our customers and vendors in North America. The accounting operations specialist will be seen as a versatile contributor and will be tasked with entering transactional documents (vendor invoices, customer invoices, cash receipts) in our accounting systems, manage third-party communications and assist these processes from an administrative standpoint.
We are looking for a team player with a keen interest in building successful relationships with internal and external clients. Since our business environment is always changing, a willingness to learn and the ability to adapt in a quickly evolving environment are essential.
Essential Job Functions
- Assist with the administrative and financial relationship with our clients, including billing, cash receipts, and customer and subledger maintenance;
- Assist with the administrative and financial relationship with our vendors, including invoice processing, account reconciliations, internal approval, and liaising with our internal budget holders and external vendor contacts;
- Contribute to timely processing and responsiveness to meet department Service Level Agreements; and
- Ensure a sound financial document management and archival system.
Duties
- Accounts payable : invoice processing, reconciliation of accounts, answer vendor queries
- Billing and accounts receivable : bill services to customers, record cash receipts, reconcile individual accounts and general ledger accounts related to customers;
- Perform collection activities when necessary;
- Work closely with internal and external stakeholders to ensure that processes are effective, efficient and that information flows seamlessly between these departments;
- Execute internal controls related to vendor and customer tasks, including fiscal compliance, process compliance;
- Organize, classify and archive the Company’s financial documents; and
- Participate in special projects, depending on business needs.
Job Requirements
- Certificate or technical diploma in accounting, or equivalent academic credentials, preferred;
- 1-3 years of experience in a similar role within a large, complex organization’s Finance team;
- Strong knowledge of the accounts payable and accounts receivable processes;
- Experience in the real estate, construction or service industries, preferred;
- Facility with task organization and planning, multi-tasking and handling multiple files simultaneously and autonomously;
- Thoroughness, professionalism, proficiency and positive demeanor in interpersonal relationships;
- Ability to effectively respond to a large volume of sensitive issues, complex inquiries, or complaints
- Provide a high-level of commitment to customer service with co-workers and stakeholders
- Resourcefulness, autonomy and facility to function in a high-growth, fast-paced environment in which processes and standards are not always already established.
- Skilled at solving problems and dealing with a variety of options with limited information
- Proficient in the Windows and Office 365 environment.
- Knowledge of Yardi Voyager, preferred but not required;
- Knowledge of Freshbooks, preferred but not required;
- Bilingual (French, English) required
- Organized and a quick learner
- Ability to maintain confidential and meticulous records
- Willingness to be physically present for work in Vantage office at least three days per week
