Job Summary

May be required to perform customer service duties in the Reading Room, including monitoring and retrieval services to the customers and clients of the Archives. The position is primarily located at the Archives in Kathleen Ryan Hall but may be asked to perform archival processing duties at other locations as required (e.g., West Campus Storage processing area, etc.).

**Job Description**:

**TYPICAL DUTIES & RESPONSIBILITIES: (Effort & Responsibility)**

**1. Technical Service Duties (Processing)**:

- Performs a broad range of archival work on personal papers and organizational records in need of sorting and description.
- Participates in preliminary review and handling of newly acquired papers or assigned collections. Removes duplicate and extraneous material as directed.
- Assists in preliminary review of archival collections to determine physical condition.
- Assists in organizing and compiling information for accession and descriptive records.
- Helps identify collection material and applies descriptive information to document cases and folders according to a prescribed plan.
- Assists in the compilation of finding aids and other descriptive compilations in automated format according to standards while ensuring accuracy.
- Assists in record/file maintenance duties, participates in special project file maintenance to upgrade legacy finding aids to automated format for ingest into archives systems according to standards while ensuring accuracy or to update accession records.
- Following a prescribed plan, identifies and labels material for conservation and inventory control, including in automated systems.
- Treats and houses material according to instructions and performs duties such as shelving and relocating collections, transferring items, containers, and files, and marking them for special identification or handling.
- Supports administrative needs by monitoring processing supplies levels and identifying needs.
- Supports collections security by filling occasional office duties such as monitoring stack areas.
- Supports digitization projects and reprographic services by scanning items from the collection in accordance with set standards and ensuring completion of accurate metadata.

**2. Customer Service Duties**:

- Assists patrons by answering questions regarding general use of archives material; answers simple questions for which an immediate and definite answer can be found; refers complex questions to the appropriate Archivist.
- Interprets and applies access procedures and regulations, referring difficult problems to the appropriate Archivist.
- Reference room monitoring for document safety and security.
- Retrieves and/or returns material to the vaults as needed.

**3. Conservation support duties**
- In consultation with the Conservator:

- Performs basic preventative conservation.
Cleans/repairs/encapsulates/photocopies a wide variety of material (e.g., textual records, architectural drawings)
Creates phase boxes, portfolio covers, pamphlet covers and custom enclosures.
Participates as a member of the Archives disaster recovery team.
Participates in special conservation projects.
Maintains familiarity with the ongoing conservation upgrades.
Participates in the assessment of items for conservation/repair treatment.

**Education & Experience**:
1. 26 Points

2. Archives Technician Diploma or an equivalent combination of education and experience.

3. Minimum of 3 years library/ archives or related experience, preferably in an archival processing / description/ collection management area.

4. Computer and office skills; demonstrated working knowledge of Windows based software and Web literacy; demonstrated working knowledge of archival accessioning and description online systems and the Rules for Archival Description; ability to identify, use and demonstrate databases at a basic level in area of work; and ability to use and demonstrate standard multi-media equipment (e.g., DVD, VCR, microform, etc.)
